The Master Planner Scheduler is responsible for ensuring effective maintenance planning, scheduling, and execution across technical and non-technical services within industrial or facilities service environments. The primary role is to improve work force productivity and work quality by anticipating and eliminating potential delays through planning and scheduling of labor, parts and material, tools and equipment, required permits, specialized documentation, and equipment access.  They create a culture of ownership, apply continuous improvement practices, and leverage Computerized Maintenance Management Systems (CMMS) for accurate documentation for planning and scheduling of work to be performed.

This position is empowered to manage work priority, develop job plans, define parts and materials, define crafts and skills, and engage the proper resources to develop a safe, effective and efficient work control plan.

The Master Planner Scheduler coordinates with operations and maintenance management teams in developing the scheduled maintenance activities and processes; pre-evaluates the need for replacement parts and places orders; and anticipates interruptions in plan and develops backup plans to minimize the impact on the facility’s overall functionality or production schedule.

Planning & Scheduling Duties

  • Maximize resources by identifying parts, materials, special tools, external services, rentals and documentation by establishing, maintaining and improving the maintenance planning and scheduling flow and process tasks.

  • Receive and review all planned work orders from the requesting departments. Review and screen each work order to verify proper completion with all required information.

  • Estimate labor hours, skills, tools, and materials required for safe and efficient job execution.

  • Create, maintain, and optimize daily and weekly schedules to fully utilize technician labor hours.

  • Maintain an organized backlog of planned work orders aligned with crew capacity.

  • Generate and assign preventive maintenance (PM) work orders, track their status, and review upon completion.

  • Analyze unplanned work orders and occurrences for incorporation into corrective and preventive actions.

  • Escalate issues to the Site Manager for work that requires special tools, personnel or special approvals.

Documentation & Systems

  • Use ERP systems (e.g., TPT, Fusion) to manage production planning, work in progress, testing, quality control and inventory.

  • Maintain accurate documentation and records to support meaningful analysis and KPI tracking.

  • Validate performance against schedule of work being performed.

  • Update existing databases with new incoming pieces of equipment.

  • Prepare reports, collect and analyze data, and make recommendations for improving plant operations and solving maintenance related and operation related problems.

Process Improvement & Coordination

  • Interact closely with engineering, production, and vendors to improve existing business processes.

  • Employ continuous improvement cycles to update reusable job plans with technician feedback.

  • Analyze overdue/backlog data and prepare monthly performance and progress reports.

  • Reconcile shipment/delivery discrepancies and align supply with scheduling needs.

Team Collaboration & Safety

  • Support safety practices and procedures including job hazard analysis and PPE usage.

  • Conduct weekly scheduling meetings with production to determine priorities and communicate work status.

  • Assist in training staff and ensure team members understand work expectations and customer needs.

  • Promote a respectful, professional, and culturally aware team environment.

Required Qualifications Essential

  • Experience in job planning, scheduling, work execution, and project management.

  • Associate degree in a technical field with 1–3 years in maintenance planning/scheduling, or 5–10 years as a technician (or equivalent).

  • 4-year degree in Science, Technology, Engineering, or Mathematics (STEM) preferred for Master Scheduler roles.

  • Working knowledge of CMMS (e.g., TPT, Fusion).

  • Demonstrates a strong understanding of skilled crafts such as HVAC, Mechanics, Electrics, Pneumatics, Hydraulics, Plumbing, Pipe Fitting, etc.

  • Strong proficiency with Microsoft Office and technical documentation tools.

  • Excellent verbal communication, organization, and problem-solving skills.

  • Ability to work independently and as part of a team in a fast-paced environment.

Desirable

  • CMRP, STS, or Green Belt certification.

  • Demonstrated leadership potential.

  • Experience balancing workload across multiple tasks and priorities.

  • U.S. Citizenship or Permanent Residency (required for certain credentials and access).
