About the Role

We’re looking for an Executive Assistant & Office Manager who is equal parts operational powerhouse, trusted executive partner, and culture champion. In this hybrid role, you’ll support a senior executive while also owning the day-to-day rhythm of our Bellevue office, serving as the connective tissue for a growing, distributed team. You’ll ensure the executive you support is operating at maximum effectiveness while simultaneously creating a seamless, welcoming, high-functioning office environment for the broader team. This role is ideal for someone who thrives in ambiguity, anticipates needs before they’re voiced, and takes pride in being both strategic and hands-on. Responsibilities:

  • Executive Support & Administrative Partnership: Serve as a trusted right-hand partner to a senior executive, managing complex calendars, scheduling across time zones, and prioritizing meetings to maximize focus and impact. Handle sensitive and confidential information with discretion, sound judgment, and professionalism. Anticipate executive needs by staying one step ahead—tracking action items, deadlines, and commitments across internal and external stakeholders.

  • Office Operations & Facilities Management: Own daily office operations to maintain a productive, welcoming, high-functioning environment, including greeting guests and visitors. Manage facilities needs, vendor relationships, office supplies, workspace logistics, and inbound/outbound shipping. Anticipate and resolve operational issues quickly with resourcefulness and sound judgment, minimizing disruption to the team.

  • Project & Program Management: Lead and support cross-functional operational and administrative projects—from office improvements to executive-led initiatives. Build systems and processes that improve efficiency, communication, and workflow for both leadership and the broader team. Track timelines, dependencies, and deliverables to ensure projects land on time and with high quality.

  • Workplace Experience & Culture: Foster a positive, connected office culture through events, celebrations, and team experiences. Serve as a trusted point of contact for onboarding new employees in the office, ensuring a smooth, welcoming start. Champion team rituals, maintain shared spaces, and ensure office norms and expectations run smoothly.

  • Communication & Coordination: Prepare organizational documents, internal communications, and materials that support leadership meetings and team alignment. Ensure the right information gets to the right people at the right time, helping teams stay aligned and unblocked.

  • Operational Excellence: Identify opportunities to streamline processes, improve administrative systems, and bring order to complexity—then implement solutions. Support strategic initiatives with a proactive, “I’ve got this” mindset. Maintain exceptional accuracy, attention to detail, and follow-through across all administrative and operational workflows.

Required Qualifications:

  • 5+ years of experience in executive assistance, office management, operations, or a similar role supporting senior leaders in a fast-paced environment.

  • Proven ability to support executives with complex scheduling, prioritization, and administrative execution.

  • Demonstrated ability to independently manage projects, solve problems, and navigate shifting priorities with confidence.

  • Strong organizational skills with exceptional follow-through and a high personal bar for quality.

  • Excellent communication and interpersonal skills; able to build trust and strong working relationships at all levels.

  • Known for anticipating needs, exercising sound judgment, and making things happen without being asked.

  • Proficiency with Google Workspace, Slack, Notion, and standard office and administrative tools.

  • Background in high-growth, startup environments.

Full-time in office, Bellevue, WA. Monday - Friday, 8:30 AM start.
