Summary Description

The Operations/ Procurement Manager is responsible for developing and executing sourcing, purchasing, inventory, and vendor management strategies that support the operational and financial objectives of Botanical Designs and its affiliated companies. This role oversees procurement activities for live plants, containers, floral products, landscaping materials, holiday décor, irrigation supplies, equipment, vehicles, and operational resources.

The Procurement Manager focuses on supplier relationships, cost management, inventory optimization, quality assurance, and ensuring materials are available to support project schedules while maintaining company profitability and service excellence.

Job Duties and Responsibilities (Essential Functions)

  • Lead, manage, and hold accountable all procurement and purchasing activities across Botanical Designs and its affiliated companies.
  • Develop and implement sourcing strategies that optimize quality, cost, availability, and supplier performance.
  • Manage vendor relationships, including supplier selection, qualification, contract negotiations, performance reviews, and issue resolution.
  • Negotiate favorable pricing, payment terms, rebates, and service agreements to maximize company profitability.
  • Analyze purchasing trends, market conditions, and supplier performance to identify cost-saving opportunities and operational efficiencies.
  • Oversee procurement budgets and purchasing expenditures, ensuring alignment with company financial goals.
  • Collaborate with Operations, Design, Sales, and Project Management teams to forecast material needs and support project execution.
  • Maintain appropriate inventory levels of plants, containers, décor, irrigation supplies, equipment, and other operational materials to meet business demands.
  • Establish and manage inventory control processes, including cycle counts, stock audits, and inventory reporting.
  • Monitor supply chain risks and proactively develop contingency plans to minimize disruptions.
  • Ensure purchased products and materials meet Botanical Designs quality standards and customer expectations.
  • Manage purchasing documentation, purchase orders, vendor contracts, invoices, and related records.
  • Collaborate with Accounting to ensure timely invoice reconciliation and vendor payment processing.
  • Develop and maintain key procurement metrics, scorecards, and reporting tools to measure supplier and departmental performance.
  • Participate in strategic planning and annual budgeting processes, providing procurement forecasts and recommendations.
  • Support branch and project teams by sourcing materials for new installations, maintenance contracts, seasonal programs, and specialty projects.
  • Ensure compliance with company policies, purchasing procedures, safety standards, and applicable regulations.
  • Maintain accountability for company assets related to procurement, warehousing, and inventory management.
  • Identify opportunities for process improvements and technology enhancements within the procurement function.
  • Participate in weekly leadership meetings prepared with purchasing metrics, supplier updates, budget performance, and departmental priorities.
  • Monitor Teams, email, and other company systems throughout the workday and respond in a timely manner.
  • Maintain accurate and up-to-date procurement records and vendor information within company systems.
  • Direct and support the implementation of company initiatives and strategic objectives.
  • Keep executive leadership informed of significant supplier issues, market challenges, inventory risks, and procurement opportunities.
  • Other duties as assigned.

  • Experience in Aspire and Service Titan
  • Strong knowledge of procurement, sourcing, inventory management, vendor relations, and contract negotiation.
  • Experience in managing supplier networks and strategic vendor partnerships.
  • Ability to analyze purchasing data, market trends, and financial reports to support decision-making.
  • Proficiency in Microsoft Office Suite, ERP systems, Aspire/ Service Titan, and other purchasing and inventory management platforms.
  • Strong written and verbal communication skills, with the ability to communicate effectively across all levels of the organization.
  • Excellent negotiation, influencing, and relationship-building skills.
  • Strong organizational, time management, and prioritization abilities.
  • Ability to manage multiple projects, deadlines, and competing priorities in a fast-paced environment.

Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

This position operates in a combination of office, warehouse, and field environments with moderate noise levels.
