ABOUT THIS ROLE
Job Summary:
The Operations Specialist is an entry to mid-level individual contributor within the Cash Management team, responsible for the accurate and timely processing of cash and/or position movements, including outgoing wire transfers, ACH, check disbursements, and position journals. This role works under close-to-moderate supervision, following established procedures and escalating exceptions to senior team members as needed. The ideal candidate is detail-oriented, eager to develop proficiency in disbursement policy and internal controls and committed to accuracy and compliance in a fast-paced operational environment.
Key Responsibilities:
Transaction Processing & LOA Review: Process domestic and international wire transfers, ACH transactions, check disbursements, and journal entries in accordance with Apex policy and within required processing windows; review and validate Letters of Authorizations (LOAs) for journals and disbursements under the guidance of senior team members.
Exception Handling & Liaison: Identify transaction exceptions and escalate to management as appropriate; partner with the business, e.g., AML, Legal, and Risk teams to resolve payment exceptions within required timeframes, reducing the risk of payment failures and ensuring timely settlement; document all exception notes per established procedures.
Policy Adherence: Follow Apex Cash Management SOPs and disbursement policy consistently across all transactions; seek guidance on non-standard situations and flag discrepancies or documentation gaps to senior team members.
Quality Checks: Perform self-review of own work prior to submission; participate in team quality review processes as directed.
Reporting & Daily Controls: Assist with the daily completion of supervisory checklist items, ensuring all required tasks, approvals, and signoffs are documented accurately and on time.
Cross-team Communication & Client Requests: Respond to routine and ad hoc requests from clients and internal teams (Client Services, Compliance, Risk etc.) in a timely and professional manner; assess urgency, gather required information, and coordinate with appropriate teams to ensure accurate resolution within agreed service level agreements (SLAs), escalating complex matters as appropriate.
Education and Experience:
Bachelor's degree in Finance, Business Administration, Economics, or a related field; or equivalent professional experience.
Minimum 1 year of experience in financial services operations; experience in cash management, wire processing, or disbursements preferred.
Demonstrated ability to process routine cash movement transaction types accurately under supervision.
Obtain a passing score on the Securities Industry Essentials® (SIE®) Exam within your first 90 days.
Comfortable working U.S. hours (night shift) in a remote environment.
Preferred Qualifications:
Experience at a broker-dealer, clearing firm, or custodian.
Familiarity with Apex Clearing systems or equivalent back-office platforms.
Proficiency in Excel and operational reporting tools.
Knowledge, Skills, and Abilities:
Operational Knowledge: Basic to intermediate understanding of wire transfer, ACH, and disbursement workflows; ability to process routine transaction types accurately with appropriate supervision.
Attention to Detail: Consistent accuracy when reviewing financial instructions and supporting documentation; committed to getting it right the first time.
Policy Adherence: Ability to follow cash operations policy and SOPs; recognizes when to escalate questions or exceptions to more experienced team members.
Communication Skills: Professional written and verbal communication; able to document transaction decisions clearly and respond to routine internal inquiries.
Team Contribution: Collaborative team member who supports overall team performance and actively seeks to learn from senior colleagues.
Systems Proficiency: Able to navigate back-office and processing systems with appropriate ramp-up time and guidance.
Time Management: Able to manage a daily task list against hard processing cutoffs with supervisor support and prioritization guidance.
AI & Technology Adoption: Open to and actively engages with AI tools, such as Claude, to enhance productivity and accuracy; demonstrates a willingness to embrace emerging technology and apply it to improve day-to-day operational workflows.
