The Contract Manager, Operation Support, oversees the accurate and timely administration of client contracts, vendor service agreements, and warranties in the Healthcare Technology Management (HTM) environment. This role maintains contract data in the Computerized Maintenance Management System (CMMS) and partners with Service Operations, Finance, Sales, and IT to support renewals, billing accuracy, and fulfillment of customer obligations.


ESSENTIAL DUTIES AND RESPONSIBILITIES 

Success is measured by accurate and timely contract setup, renewal and expiration visibility, timely amendment completion, consistent contract data across systems, fewer billing and coverage errors, and prompt issue resolution.

 

  • Customer Contract Management
    • Enter and maintain complete, accurate, and current records for client contracts, vendor service agreements, and warranties in the CMMS, including applicable terms, coverage, assets, dates, pricing, and supporting documentation.
    • Serve as the contract-module subject matter expert by standardizing workflows, resolving data and process issues, training users, and promoting consistent use of CMMS contract functionality.
    • Monitor contract expiration dates and provide Sales and Service Operations with timely renewal information, required documentation, and contract data to support renewals, extensions, or new contract opportunities.
    • Partner with Sales, Finance, Operations, and IT to reconcile contract data across the CMMS, customer relationship management, billing, and other applicable systems; investigate discrepancies and coordinate timely corrections.
    • Monitor customer accounts, contract coverage, and system configuration to ensure current terms and related service and billing requirements are accurately reflected and consistently executed.
  • Amendment Management
    • Coordinate amendments from data preparation through execution and implementation, ensuring supporting data is reviewed, documents align with contract terms, approvals and signatures are obtained, and final information is provided for billing and system updates.
  • Partner with Operations Support, Service Operations, and IT to standardize and continuously improve amendment roles, workflows, system requirements, and hand-offs.
  • Enhancements
    • Serve as the contract-module subject matter expert for CMMS enhancements by developing or reviewing test scripts, performing user acceptance testing, documenting results and defects, and confirming that approved changes meet business and user requirements.
  • Documentation
    •  Maintain complete and accurate records for CMMS cases, including the issue, supporting information, actions taken, status, resolution, and any required follow-up.

Qualifications

PREFERRED EXPERIENCE, EDUCATION, AND SKILLS

 

  • Working knowledge of contract financial concepts, including service revenue, cost, margin, pricing, billing terms, and the financial impact of contract setup or data errors.
  • Minimum 2 years CMMS database management and support or related experience.
  • Experience reviewing contract terms, amendments, supporting documentation, and approval requirements is preferred; paralegal or contract-administration experience is a plus.
  • Proficient in Excel – Strong Excel and/or Access skills a plus.
  • Experience with Microsoft Office Suite
  • Software applications used with multiple hardware platforms, including PCs, tablets, and mobile phones.
  • Excellent communication and people skills - remote and in-person.
  • Solid organizational skills and attention to detail.
  • Strong sense of urgency and critical thinking in a fast-paced environment.
  • Self-motivated, goal-oriented, quality driven and capable of working with a team and independently.
  • College degree or equivalent work experience.
