As an Engineering Assistant specializing in Office Engineering and Administration, you will provide essential administrative, coordination, and technical support to the engineering department. Primary Responsibilities:
Administrative Support
Provide day-to-day administrative support to engineering managers, senior engineers, and department heads
Manage and maintain engineering calendars, meeting schedules, and travel arrangements
Prepare, format, and distribute engineering reports, presentations, memos, and correspondence
Handle incoming and outgoing communications on behalf of the engineering department
Coordinate and organize department meetings, take minutes, and track action items
Document & Records Management
Maintain and organize engineering documentation including drawings, specifications, procedures, work instructions, and BOMs (Bill of Materials)
Ensure proper filing, version control, and retrieval of engineering documents using document management systems (DMS)
Support the preparation and submission of engineering change requests and change management documentation
Assist in maintaining Process of Record (POR), standard operating procedures (SOPs), and compliance documentation .
Engineering Coordination Support
Assist engineers with data entry, tracking of project milestones, and status reporting
Coordinate with procurement, vendors, and suppliers for engineering-related purchase orders and material requests
Support new product introduction (NPI) activities by coordinating logistics and administrative requirements
Track and report on engineering KPIs, action items, and project timelines using tools such as Excel, SharePoint, or project management software
Assist in the coordination of equipment calibration schedules, maintenance logs, and safety compliance records
Office Operations
Manage office supplies, equipment inventory, and facility-related requests for the engineering department
Support onboarding of new engineering team members (workspace setup, access provisioning, orientation scheduling)
Liaise with IT, HR, and Facilities teams to address department needs
Assist in organizing engineering training sessions, workshops, and team events
AI & Data-Driven Enablement
Leverage AI/ML and analytics to:
Predict yield trends and detect early excursions
Identify hidden process correlations and variation drivers
Enable predictive process control and anomaly detection
Utilize MES, equipment, and yield data to drive insights
Collaborate with digital teams to deploy AI-enabled dashboards/tools
Qualification s & Experience:
Experience:
0-3 years of experience in an administrative, engineering support, or office coordination role
Fresh graduates with relevant internship experience are welcome to apply
Education Requirement:
Diploma or Bachelor's Degree in Engineering , Business Administration, Office Management, or a related field
Technical background or exposure to engineering environments is an advantage
