We are seeking a highly organized, outgoing, people-focused, and proactive Talent Acquisition, HR & Office Operations Coordinator to support our Seattle office. This is a dynamic, hands-on role that blends recruiting coordination, new hire onboarding, employee engagement, and facilities/office management.
This position will play a critical role in shaping both the candidate and employee experience in our Seattle headquarters.
This is a 90 day contract-to-hire role, with the opportunity to convert to full-time based on performance and business needs. The scope of the role is designed to evolve as the Seattle office grows and business needs evolve. Priorities, focus areas, and reporting lines within the People team may shift. This role is hybrid in downtown Seattle, WA (on-site 4 days per week, remote 1 day per week.)
During the initial 90 days (contract period), the role will be split approximately:
- ~70% Talent acquisition support (initially reporting to the Head of TA, who is remote)
- ~30% Facilities & office setup and management (dotted line to head of Employee Experience; on-site supervisor)
This phase will heavily focus on supporting hiring efforts and assisting with general office support to ensure an engaging and comfortable work environment.
The responsibilities will continue to grow and adjust based upon where the business has the greatest needs, offering strong exposure across people operations and office management functions. This is a great opportunity to receive ample training on a solid set of foundational HR skills, broaden your HR experience, and have exposure to all aspects of HR.
Talent Acquisition Support
Partner with the Head of Talent Acquisition to deliver a best-in-class candidate experience.
- Schedule interviews and coordinate calendars across hiring managers and candidates
- Greet candidates on-site and ensure a welcoming, professional interview experience
- Conduct reference checks and support pre-employment processes
- Assist with Rippling administration related to recruiting and onboarding
- Post job openings across job boards and manage postings
- Monitor and review company ratings and feedback on job sites (e.g., Glassdoor, Indeed)
- Help draft and prepare job descriptions, offer letters, and other documentation
- Support onboarding logistics for external recruiting partners and new hires
- Assist with sourcing talent
Employee Engagement & Events
Help create an engaging, inclusive, and fun workplace culture.
- Working with our Head of Employee Experience and management, help plan and coordinate office events, celebrations, and employee engagement activities
- Source and manage local vendors for catering, supplies, and event services
- Lead event setup and cleanup
- Explore new venues and creative ideas for team gatherings
- Greet employees and foster a welcoming office atmosphere
- Partner with HR leadership to execute engagement initiatives and company-wide programs
- Help build and continue to shape our rich culture
Office Operations & Facilities
Ensure the Seattle office runs smoothly, including:
- Support office logistics and vendor relationships
- Assist with organization of workspaces as needed
- Manage office supplies, snacks, and inventory to ensure consistent stocking
- Order and track supplies from vendors
- Maintain cleanliness and organization of common areas
- Greet visitors and serve as the front-of-house contact for the office as needed
- Handle incoming and outgoing mail and deliveries
- Provide general operational support and troubleshoot day-to-day office needs

- 1-2 years of experience in recruiting coordination, HR administration, or a related role preferred
- Experience with HRIS and ATS systems (Rippling experience) is a plus
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Ability to manage multiple priorities and shift between responsibilities seamlessly and comfortably
- Proactive, resourceful, and solution-oriented mindset
- Comfortable working on-site in a dynamic, startup environment, with remote leadership/management
