Job Description Summary

The Project Management Office (PMO) Contract Administrator supports construction projects by assisting with supplier procurement operations, PO routings, and contract administration. This role ensures is responsible for preparing, examining, analyzing, and revising purchase orders, change orders, and contractual records, as well as processing accurately and on time, while maintaining data integrity across enterprise project and financial systems. The position partners closely with Project Managers, Finance, and PMO to support administrative tasks and reporting. This role is designed for candidates with prior experience in procurement, project management support, or finance administration.

Job Description

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Provide administrative support for procurement and contract activities under the guidance of senior team members.

  • Track and compile contract documentation and routing for signature.

  • Issue PO’s and CO’s to suppliers within established SLAs and KPI’s.

  • Support Finance Accounts Payable (AP) with PO documentation and interpretation of contractual obligations to ensure vendors are paid in a timely manner.

  • Help resolve routine issues related to supplier documentation, contract execution, or processing delays.

  • Process and maintain up-to-date documentation of contractual and supplier records such as supplier profile information, Certificates of Insurance (COI), substantial completion certificates and bid waivers.

  • Attend and contribute to internal business meetings with the Account team.

  • Other administrative duties as assigned.

  • Bachelor’s degree preferred (Procurement, Finance, Business Administration, Construction Management, or related field).

  • Experience in contract/vendor administration, procurement, project management support, or finance administration or related fields.

  • Familiarity with purchase orders, change orders, contracts, and financial workflows.

  • Strong proficiency with Microsoft Office tools (Excel, Word, Outlook); experience with enterprise project management or financial systems preferred.

  • Ability to manage multiple tasks and meet deadlines in a fast‑paced environment.

  • Collaborative mindset with willingness to learn and follow established processes.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $34.00 - $40.00
