Who You'll Work With
This role is part of KPFF’s General & Administrative (G&A) team, based in Seattle. As a trusted partner within our decentralized structure, the G&A team brings specialized expertise in areas such as payroll, benefits, accounting, and IT, all tailored to the unique needs of each office.
In this highly collaborative and forward-facing role, you’ll partner closely with project managers and internal teams to strengthen financial operations, communicate complex financial concepts with clarity, and support training and knowledge-sharing across the firm.

Job DescriptionWhat Sets This Role Apart
- Expand Your Reach: Support a variety of KPFF offices during transitions or staffing gaps, gaining insight into different project types, teams, and operational styles.
- Be a Trusted Partner: Go beyond transactions. You'll help project managers interpret budgets, plan billing, and navigate project financials with confidence.

- Become a Systems Expert: As you deepen your ERP expertise, you’ll become a go-to contact for troubleshooting, guidance, and process improvement.

How You'll Contribute
Project Cost Management & Invoicing:
- Generate timely, accurate invoices in collaboration with Project Managers.
- Use BST (our ERP system) to manage labor hours, expenses, and subconsultant costs.
- Track project budgets and burn rates, flagging potential overruns or billing issues early.
- Manage accounts receivable and proactively resolve billing discrepancies.
- Support financial integrity through accurate coding, documentation, and reconciliations.
Financial Insight & Integrity:
- Prepare monthly WIP and revenue reports to support accurate revenue recognition and forecasting.
- Assist with month-end close by contributing journal entries, reconciliations, and project-level reporting.
- Build and share financial metrics that provide clear visibility into project performance.
- Ensure compliance with GAAP and KPFF internal controls.
Collaboration, Training & Process Improvement:
- Provide approachable financial guidance to project teams across multiple offices.
- Support project setup and ERP consistency through internal collaboration and documentation.
- Lead or contribute to training sessions on billing, budgeting, and system workflows.
- Translate financial data into practical insights that empower informed decision-making.
- Identify and implement process improvements that enhance accuracy and team efficiency.
- Serve as a collaborative thought partner on G&A initiatives and firmwide strategy.
About You
- 3–8 years of experience in accounting, finance, or a related field
- Experience in project-based financial work such as invoicing, accounts receivable, revenue recognition, and subconsultant coordination
- Familiarity with project setup, WIP tracking, and cost monitoring in a professional services or consulting environment
- ERP experience or other project-based financial platforms
- Proficient in Excel for reporting, reconciliation, and budget tracking, with working knowledge of PowerPoint and Word
- Strong interpersonal and relationship-building skills with a personable, proactive, and approachable communication style
- Skilled at breaking down financial concepts into clear, straightforward language for different audiences
- Emotionally intelligent and adaptable. Comfortable flexing your communication style across different teams and experience levels
- Self-starter with a “trusted advisor” mindset who takes ownership and pride in the quality of their work
- History of contributing to process improvements and documentation that support team efficiency
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced, collaborative environment
- Comfortable supporting multiple offices and partnering across disciplines, including project managers, administrators, and leadership
Physical Demands and Work Environment:
- Duties are typically performed in a normal office environment while sitting at a desk or computer table
- Ability to actively engage with a computer for several hours per day and communicate over the telephone or virtual meeting platforms.
- May occasionally need to lift items up to 15 lbs.
- This is an in-office role based in downtown Seattle with flexible hours between 7:00 am and 5:00 pm

Compensation & Recognition
We offer a competitive base salary aligned with your skills, experience, and background. For candidates with 3–8 years of relevant experience, the typical salary range is $75,000–$90,000. We also recognize individual and team success through performance-based bonuses at the Reporting Center level.
Work Authorization: This position is not eligible for visa sponsorship or transfer. Candidates must be authorized to work in the United States without the need for employer-sponsored visa support now or in the future.
