POSITION SUMMARY

The Project Manager will work closely with the Board Engagement & Development team to lead and coordinate a portfolio of projects, manage internal systems, and contribute to strategic communications. In addition to overseeing projects, the Project Manager will also provide support to team members to help advance team goals and priorities. The ideal candidate is a proactive communicator and skilled organizer with a passion for continuous improvement, strong time management, and a commitment to mission-driven work. This role requires experience and confidence in working with senior and executive staff, as well as the ability to professionally and effectively represent the organization to external audiences.

KEY RESPONSIBILITIES


Project Management

· Serve as a partner to team members to deliver on the team’s overall mission and duties

· Manage projects and tasks related to quarterly Board of Directors meetings, including material development and the planning of in-person and virtual meetings

· Proactively capture and track action items and deliverables from board and internal planning meetings and events, ensuring schedules are on track and due dates are met

· Serve as the main point of contact for internal staff and Board of Directors staff on assigned projects

· Maintain and update internal systems, such as Quantive, OnBoard, and Salesforce, and identify new ways to leverage these tools to share information with the Board and their staff

· Track and organize critical data from across the organization, including OKRs, initiative docket planning details, and annual compliance and reporting deadlines for funders

· Drive preparation and follow-up for internal and external meetings


Development, Engagement and Communications

· Collaborate with Climate Imperative leadership to organize events, briefings, forums, and meetings to increase engagement with partners, funders, and prospects by creating invitation lists, drafting invitations, scheduling support, creating agendas, preparing meeting content, and leading overall project management.

· Prepare and edit updates, proposals, reports, presentations, and other customized content to support Board engagement and development efforts

· Create compelling data visualizations to tell the stories, progress, and impact of Climate Imperative’s work

· Create tailored communication and engagement plans

· Develop and maintain Climate Imperative materials for onboarding new staff, partners, and potential funders

· Work closely with staff to identify recent wins and progress to share with the Board on a regular basis

· Develop and maintain familiarity with CI’s programmatic efforts, goals, and progress; CI’s organization-wide goals; and the goals and work of the broader climate philanthropic community

· Build and maintain trusting relationships with internal and Board staff

· Evaluate and refine donor engagement execution and strategy

· Manage the organization’s pipeline of donors, including identifying and cultivating prospects


Administrative Management

· Take meeting notes, organize notes for staff and attendees, and manage necessary action items and follow-up required after the meeting

· Organize and maintain electronic filing system, ensure items are up-to-date, and maintain external contact lists

· Collect feedback from internal staff, board members, advisory council, and external partners to inform how to improve systems and user experience

· Facilitate payment process with program team staff and finance department

· Work with the Executive Assistants for in-person board events with delegated tasks, including but not limited to planning and managing logistics such as catering, agenda creation, and scheduling of meeting spaces

EXPERIENCE & SKILLS

· 4+ years of experience managing internal and external projects and partnerships including working with senior or executive staff members

· Detail-oriented with strong project management skills, including the ability to design and execute multifaceted work plans, anticipate challenges, and meet deadlines

· Ability to productively collaborate with peers and colleagues and to build strong professional relationships

· Advanced skills using Microsoft Office Suite; familiarity with Salesforce, SharePoint, project management software, Zoom, Adobe Acrobat, and Slack

· Demonstrates a continuous improvement mindset—proactively suggests ideas, takes initiative, and incorporates feedback to enhance work and team processes.

· Effective written and verbal communication skills with the ability to adjust tone and message based on the audience

· Clear, concise, and organized in thinking and work product

· Interest, passion, and commitment to reducing climate change

· Ability to prioritize and be flexible in a fast-paced, constantly evolving, and collaborative environment

PREFERRED EXPERIENCE & SKILLS

· Using OKRs to set and track team goals

· Designing materials for external audiences using Adobe Acrobat, Canva, and/or Microsoft suite

· Creating online forms and surveys

· Experience with fundraising and development


SALARY

We provide a salary commensurate with qualifications and experience. The target national salary range is $95,000 to $101,000 with adjustments made for people in higher-expense markets, i.e. the San Francisco Bay Area and Washington, D.C. Reach out to the People team if you have questions about the salary range for your market. Currently, all staff local to the San Francisco and DC offices go into the office one to three days a week. Equity is incredibly important to the organization, and a pay audit for equity is completed annually.
