About the Role:

The Proposal Specialist will play an essential support role in driving Fluxx’s marketing and growth strategy by crafting compelling RFP responses and managing the content library. Working closely with and reporting to the Manager, Strategic Campaigns and Proposals, you’ll help coordinate, develop, and timely submit competitive bid responses, while also creating marketing-ready content that highlights Fluxx’s value proposition. This role blends structured proposal management with creative marketing storytelling to help us increase win rates and elevate our brand across multiple sectors.

This is a highly collaborative role, ideal for someone who thrives in cross-functional environments, has excellent organizational skills, and knows how to craft a persuasive, professional story from technical and strategic content.

What You’ll Do:Proposal Development & Support
  • Partner with the Manager, Strategic Campaigns and Proposals to coordinate and execute RFP responses, RFIs, and other strategic submissions.
  • Help manage proposal timelines, task assignments, internal reviews, and submission deadlines.
  • Ensure accuracy, consistency, and clarity throughout each response—keeping everything on brand and on time.
  • Perform FOIA / Open Records Requests
  • Develop strong win themes
  • Participate in color reviews
  • Manage multiple RFx pursuits at the same time
Content Management & Creation
  • Maintain and update a centralized proposal content library, making it easier to build high-quality responses at scale.
  • Collaborate with the marketing team to adapt proposal content into marketing assets such as case studies, web copy, campaign messaging, and thought leadership pieces.
  • Ensure all content aligns with brand voice, storytelling strategy, and demand generation goals.
  • Create and improve response-ready content on key topics such as:
    • Return on Investment (ROI) vs. Cost of Inaction (COI)
    • Probability of Winning
    • Phased implementation approaches
    • Multi-agency deployments
    • Product innovations, including AI and roadmap positioning
Process Improvement & Metrics
  • Track proposal progress and win/loss metrics to identify trends and surface areas for improvement.
  • Collaborate on post-submission debriefs and share learnings to evolve future proposals.
  • Help maintain internal documentation and best practices as we refine our proposal operations.
  • Salesforce data entry to track RFXs and FOIA requests
What You Bring
  • 2–4 years of experience supporting RFP or proposal processes, bonus points if in SaaS, enterprise software, or government tech.
  • Strong written communication and editing skills, with a sharp eye for detail and a love for clear, compelling language and a knack for turning complex information into compelling, audience-friendly content.
  • Excellent project coordination skills. You keep things moving, even across multiple teams and shifting deadlines.
  • Comfort working cross-functionally with marketing, sales, product, and executive stakeholders.
  • Familiarity with public sector procurement or grants management is a plus.
  • Experience using proposal tools (e.g., Loopio, RFPIO) is preferred but not required.

Salary:

Fluxx is currently seeking candidates located in Zone 2 and Zone 3 geographies for this role.

  • Zone 2 – Atlanta, Seattle, San Diego, Washington D.C.
      $64,000-$75,000
  • Zone 3 – All other U.S. locations
      $60,000-$72,000

The successful candidate’s starting salary will be determined based on, but not limited to (a) location; (b) individual candidate skills and qualifications; and (c) individual candidate experience. 

Fluxx is committed to fair and equitable compensation practices. We take a market-based approach to pay which may vary depending on your location. Locations are categorized into one of three zones based on a cost of labor index for that geographic location and our compensation philosophy.
