Overview

We are seeking a highly adaptable, detail-oriented, and intellectually curious Records Retention Program Manager to support and evolve our global Information Governance (IG), records retention, and privacy operations programs.

This is a unique hybrid role that combines program management, process improvement, operational administration, analytics, and information governance execution. The ideal candidate is equally comfortable managing detailed administrative work and helping design smarter, more efficient ways of operating.

Initially, this role will focus heavily on supporting records retention and information governance activities, including case management, vendor coordination, financial tracking, records disposition initiatives, workflow administration, and operational support. Over time, the role will expand into broader privacy, compliance, and business process improvement initiatives.

Success in this role requires someone who is not merely a process follower, but someone who continually asks:

  • Why are we doing it this way?
  • Can this be automated?
  • Can this process be simplified?
  • What does the data tell us?
  • How can we accomplish the same outcome more efficiently?

This individual will serve as a trusted thought partner and operational extension of program leadership, helping transform tribal knowledge into scalable processes, documented workflows, dashboards, and sustainable governance practices.

ResponsibilitiesInformation Governance & Records Retention Operations (50%)
  • Manage day-to-day information governance and records retention activities.
  • Coordinate records requests, retention reviews, disposition projects, and operational workflows.
  • Support physical and electronic records management initiatives.
  • Manage case intake, service requests, help desk tickets, work orders, and tracking activities.
  • Perform quality control reviews to ensure accuracy and completion of records-related tasks.
  • Coordinate with records storage vendors, internal stakeholders, and operational teams.
  • Drive initiatives aimed at reducing physical records inventories, eliminating unnecessary storage, and supporting long-term program sunset objectives.
  • Document procedures, workflows, and operational standards.
  • Maintain detailed records and ensure operational activities are executed consistently and accurately.
Privacy & Compliance Program Support (40%)
  • Support privacy operations and privacy impact assessment initiatives.
  • Assist with access management compliance activities and governance processes.
  • Coordinate stakeholder outreach, information gathering, documentation, and workflow execution for privacy-related projects.
  • Help identify opportunities to streamline privacy reviews and governance processes.
  • Partner with Legal, Compliance, Privacy, Information Security, and business stakeholders to support evolving requirements.
  • Translate operational requirements into repeatable business processes.

Note: This role does not require a privacy attorney or privacy subject matter expert. Privacy knowledge can be learned. We are primarily seeking a strong operator, project manager, and process improvement professional.

Program Management, Process Innovation & Analytics (10%)
  • Identify opportunities to simplify, automate, and improve workflows.
  • Leverage data to identify trends, inefficiencies, and opportunities for operational enhancement.
  • Develop dashboards, status reporting, performance metrics, and operational insights.
  • Support project planning, resource forecasting, timeline management, and stakeholder communications.
  • Assist in translating manual processes and institutional knowledge into scalable systems and documented workflows.
  • Evaluate opportunities to leverage AI, automation, and workflow technologies to increase efficiency.

Required Qualifications
  • Bachelor's degree or equivalent professional experience.
  • 4+ years of experience in project coordination, program management, operations, information governance, records management, compliance operations, legal operations, or a related field.
  • Strong organizational and administrative skills with exceptional attention to detail.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Experience documenting and improving business processes.
  • Excellent communication and stakeholder management skills.
  • Strong analytical and critical-thinking abilities.
  • Proficiency with Microsoft Excel and reporting tools.
  • Experience working independently with minimal supervision.
  • Demonstrated ability to learn new subject matter quickly.
Preferred Qualifications
  • Experience in Information Governance, Records Management, Legal Operations, Compliance Operations, or Privacy Operations.
  • Experience using:
    • Wrike
    • Tableau
    • Miro
    • Microsoft Power Platform tools
  • Experience managing budgets, purchase orders, invoices, forecasts, vendors, or change orders.
  • Familiarity with AI tools such as Claude, Copilot, ChatGPT, or similar technologies.
  • Experience identifying automation opportunities and implementing process improvements.
  • Exposure to privacy impact assessments, risk assessments, or compliance programs.
