The Sales Coordinator works directly with the sales and marketing team in a supportive and administrative role. Responsible for providing administrative support to the Director of Sales & Marketing and Corporate, Leisure and Entertainment sales sellers in addition to our marketing team to effectively serve the needs of our clients.

RESPONSIBILITIES AND JOB DUTIES:

  • Answer telephone and respond to caller inquiries, speaking in a clear and pleasant manner. Exercise decision making skills to direct caller requests for individuals within department during their absence from office. 
  • Assist with VIPs/ High Touch Groups including adding preferences to profiles, travel advisor requests, amenities and welcome cards, checking rooms and collecting special requests from outside of the hotel e.g. balloons.
  • Prepares reports, presentations, contracts, correspondence, forms, memorandum and other documents.
  • Works with all departments to coordinate any special needs/request of clients including site inspections.
  • Enter data (various word processing and other software packages including SalesForce, Word, Excel, PowerPoint, and Shiji SEP).
  • Accurately and in a timely manner, completes typing of materials such as letters, memos, proposals, contracts, mailing lists, sending gifts, etc. as requested by the Director of Sales and Marketing and sales seller. 
  • Assist with maintaining sales calendars, appointments, client meetings, site inspections, and follow-up activities. 
  • Completes and processes various forms such as check requests, registration form, purchase orders, etc. as required.
  • Completes sales and marketing office administrative tasks such as payroll and OnTrack.
  • Assists sales managers in the planning and hosting of Familiarization trips.
  • Ensures that SalesForce system is updated on regular and timely basis in line with Best SalesForce Practice standards, including, but not limited to, accurate and updated information on account and contact, booking source, past activities and future follow-ups.
  • Assist with preparation for sales calls, client meetings, trade shows, networking events, and other sales activities. 
  • Provide general administrative and co-ordination duties as needed in the sales and marketing department.
 PHYSICAL DEMANDS:
  • Physical activities include lifting up to 20lbs.

    SPECIAL SKILLS REQUIRED:

  • Excellent telephone skills and manners, ability to interact with colleagues and clients of the hotel, both via phone and in person in a professional manner
  • Excellent knowledge of Outlook, Word, Excel, SalesForce, Property Management System - Shiji SEP, Birchstreet and PowerPoint.
  • Ability to read, write, and speak the English language using excellent grammar and communication skills.
  • Administrative knowledge such as business letters, formats and telephone etiquette.
  • Requires the ability to operate office machines.
  • Requires the ability to compile, gather data, collate and or classify information about data, people or things.

    EXPERIENCE REQUIRED:

  • 1-2 years’ experience in an administrative position
  • 1-2 years’ experience in a Hotel Sales or Hotel Catering environment.
  • Fluent with Word, Excel, PowerPoint, Outlook
  • Fluent with SalesForce and Shiji SEP preferred

    Rate of pay: $37.79/hour
