The Sr. Administrative Assistant performs administrative tasks in support of the business and/or specific colleagues. Tasks include managing calendars, handling information requests and incoming calls, preparing correspondence, scheduling meetings, generating reports and coordinating business-related functions.
PRIMARY RESPONSIBILITIES:
- Coordinates calendars by scheduling meetings, conference calls, and resources & adjusting thereto when necessary
- Coordinates logistics for lunches, meetings with clients/carriers, and other work-related functions
- Prepares meeting agendas and attends meetings to take minutes/ notes and to follow up on actions to be taken/tasks to be assigned
- Greets visitors/guests and guides them to the designated meeting area
- Assists with various business projects, including running reports from appropriate systems
- Coordinates travel arrangements
- Prepares PowerPoint presentations as requested
- Prepares a variety of correspondence and generates reports in support of the business segment(s)
KNOWLEDGE, SKILLS & ABILITIES:
- Excellent interpersonal and organizational skills
- Is discreet and demonstrates the understanding of what it means to keep information confidential
- Must demonstrate the firm's core values, exuding behavior aligned with the firm's culture
- Strong verbal and written communication skills
- Intermediate to advanced skills in MS Office products, specifically Word, Excel, and Outlook
- Ability to learn the firm's AMS software for purposes of pulling and modifying reports
- Must be able to lift/carry up to 25 lbs.
- Ability to engage in walking, standing, and maneuvering around an office environment.
EDUCATION & EXPERIENCE:
- 3+ years experience as an administrative or executive assistant supporting multiple people
- High school diploma or equivalent required; Associate's or higher education preferred
- Intermediate to advanced knowledge of MS Office Suite

The starting salary is $70,000 annually. Salary is negotiable upon time of hire.
