Vantor is seeking an experienced and highly organized Executive Assistant (EA) to provide dedicated support to both the CEO and key executive leaders. This role requires exceptional professionalism, discretion, and the ability to anticipate needs in a fast-paced, mission-critical environment. The ideal candidate will be a proactive problem-solver, deeply customer-service oriented, and adept at managing complex logistics across global teams.

Key Responsibilities 

  • Provide comprehensive executive support including heavy calendar management, prioritization of meetings, and coordination across multiple time zones. 
  • Manage domestic and international travel logistics, including complex itineraries and last-minute adjustments. 
  • Serve as a key point of contact for internal and external stakeholders, representing the executives with professionalism, discretion, and a customer-first mindset
  • Support smooth communication flow with external C-Suite customers, board members, and dignitaries.  
  • Leverage technology and modern productivity tools to enhance efficiency and uplift executive support processes. 
  • Support employee engagement and office activities for the Westminster site and/or individual business groups you support, fostering a positive and connected culture. 
  • Prepare and edit correspondence, reports, and presentations; manage expense reporting and purchasing processes. 
  • Anticipate executive needs, proactively resolve issues, and maintain confidentiality on sensitive matters. 
  • Collaborate closely with other executive assistants, HR, communications, and business operations teams to drive alignment and consistency across the organization. 

 

Qualifications 

  • Minimum 5 years of experience supporting senior executives or C-suite leaders in a global or highly matrixed organization. 
  • Exceptional organizational, communication, and interpersonal skills with a polished and professional demeanor. 
  • Proven ability to handle multiple priorities with strong attention to detail and follow-through. 
  • Demonstrated tech savviness — comfortable using tools such as Microsoft 365, Teams, Concur, Workday, and virtual collaboration platforms. AI tools a plus! 
  • Ability to thrive in a fast-paced, dynamic environment that requires flexibility and responsiveness. 
  • Strong sense of discretion, judgment, and professionalism when handling confidential information. 
  • Experience supporting or coordinating activities for operations or technical organizations is a plus. 
  • Bachelor’s degree preferred. 
  • Hybrid – onsite in Westminster, CO a minimum of 3 days per week.

Pay Transparency: In support of pay transparency at Vantor, we disclose salary ranges on all U.S. job postings.  The successful candidate’s starting pay will fall within the salary range provided below and is determined based on job-related factors, including, but not limited to, the experience, qualifications, knowledge, skills, geographic work location, and market conditions. Candidates with the minimum necessary experience, qualifications, knowledge, and skillsets for the position should not expect to receive the upper end of the pay range.

● The base pay for this position within Colorado is: $30.75 - $51.25 hourly. 

For all other states, we use geographic cost of labor as an input to develop market-driven ranges for our roles, and as such, each location where we hire may have a different range.
