Position Summary
We are seeking a highly organized and dependable Remote Administrative Assistant to provide day-to-day administrative support. The ideal candidate is detail-oriented, proactive, and comfortable managing a variety of tasks to help keep business operations running smoothly.
Key Responsibilities
- Manage calendars, schedule appointments, and coordinate meetings across time zones
- Answer and direct phone calls, emails, and other correspondence professionally
- Prepare, format, and proofread documents, reports, spreadsheets, and presentations
- Maintain and organize digital filing systems and records
- Process incoming and outgoing mail, invoices, and basic billing tasks as needed
- Coordinate travel arrangements and prepare expense reports
- Order office supplies and manage vendor communications
- Assist with onboarding new employees (scheduling, paperwork, system access)
- Take meeting minutes and distribute action items to relevant staff
- Support project coordination by tracking deadlines and deliverables
- Handle confidential information with discretion and professionalism
- Perform other administrative duties as assigned
Required Qualifications
- High school diploma or equivalent required; associate's degree a plus
- 1+ years of administrative or office support experience preferred
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace
- Familiarity with scheduling and project management tools (e.g., Calendly, Asana, Trello)
- Ability to work independently and manage priorities with minimal supervision
- Reliable high-speed internet connection and a quiet, dedicated home workspace
Preferred Qualifications
- Experience supporting multiple team members or departments
- Familiarity with basic bookkeeping or invoicing software (e.g., QuickBooks)
- Notary certification (a plus for certain industries)
- Prior remote work experience
