Fred Hutch’s Philanthropy program raises funds for cancer and related disease research, care, and education to help Fred Hutch become the world’s best cancer center. Since the April 2022 merger that led to the formation of Fred Hutchinson Cancer Center, Fred Hutch has served as the cancer program for UW Medicine, and Philanthropy is proud to raise funds that fuel the adult oncology program on behalf of both Fred Hutch and UW Medicine.

The Administrative Manager to VP, Philanthropy, reports to the Vice President and is part of the team that supports the department’s annual and campaign goals.


The Administrative Manager to VP, Philanthropy, manages all administrative operational activities in support of Philanthropy and provides executive level administrative support and reports to the VP, Philanthropy. The Administrative Manager to VP, Philanthropy, has responsibility for independently managing all aspects of departmental administrative operations, including supervision of administrative staff. The Administrative Manager to VP, Philanthropy, handles all escalated administrative problems, soliciting assistance and information from VP, Philanthropy, as required. Special skills and knowledge are applied in managing administrative operations. Uses independent judgement in supervising staff, planning for and addressing administrative needs and in reflecting the VP, Philanthropy’s executive style and Fred Hutch Cancer Center policies.


Some travel and weekend and evening work may be required.


This role will have the opportunity to work partially at our campus and remotely. This position will work a minimum three days per week at our South Lake Union campus.

Responsibilities

Primary/Essential Duties

  • May supervise administrative staff to include hiring, performance evaluation, professional development, handling disciplinary action, layoff and termination issues.
  • Participate in the planning/development and oversight of the departmental budget, ensuring all financial allocations and expenditures are in accordance with Fred Hutch policies.
  • Develop and administer policies and procedures related to departmental administrative operations.
  • Analyze operational reports and provide senior departmental leadership with updates and recommendations; develop and implement action plans for process improvement and cost effectiveness.
  • Coordinate space and resource planning and utilization, evaluating current departmental needs, overseeing acquisition of space and equipment, anticipating and planning for future needs.
  • Provide highly complex and responsible administrative support to VP, Philanthropy, interfacing with high level internal/external contacts requiring considerable discretion and initiative.
  • Research background material and collect data for reports, speeches, and correspondence; may carry out assignments relating to civic or committee activities and/or social functions of senior management.
  • Coordinates VP, Philanthropy, presentations and documents.
  • Other duties as assigned.
Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree or equivalent experience.
  • Minimum five years of executive level administrative support, preferably in a fast paced, matrixed environment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proven ability to analyze data, develop operational efficiencies, and maintain confidentiality.
  • Excellent organizational skills, the ability to resolve problems professionally and efficiently, and to work with all levels of management and external vendors.
  • Strong working knowledge of Microsoft Office suite.

PREFERRED QUALIFICATIONS:

  • Experience in nonprofit, research, or health care environment with campaign planning or campaign implementation experience.
  • Strong attention to a high level of detail and quality of work.
  • Ability to build relationships and work collaboratively within a complex organization.
  • Advanced proficiency in Microsoft Office Suite and experience with a CRM, Raiser’s Edge/RENXT, or related fundraising software.

The annual base salary range for this position is from $80,475 to $120,682, and pay offered will be based on experience and qualifications.Although Fred Hutch is not sponsoring most H-1B visas at this time, candidates who already hold an H-1B sponsored by another organization and are currently in the U.S. may be eligible for this position.Fred Hutchinson Cancer Center offers employees a comprehensive benefits package designed to enhance health, well-being, and financial security.
