Vimly is hiring a Client Services Specialist to serve as the Tier 2 contact for members, employer groups, brokers and internal teams. You will own nine areas of group administration, from user access to EDI support. You will keep each one accurate and on deadline. This role will report to our Manager, Client Services.

At Vimly, our mission is to simplify the complexities of workforce and benefit administration for our customers and partners. We need team-oriented people who want to do excellent work, grow and enjoy the day while they do it.

YOU WILL OWN NINE AREAS OF GROUP ADMINISTRATION

Each area has a clear start, a deadline and a record in Salesforce. You will work them through cases and log every step so the next person can see what happened.

  • User Access - Set up, change and remove Vimly platform access for employer, broker and trust users. Troubleshoot login and permission problems, and answer how-to questions about SIMON features.
  • New Groups - Set up new employer groups, including plan setup, SBS tagging and new plan document tagging. Confirm each group is ready before its effective date.
  • Renewals - Process renewing groups and rolling renewals. Update plan and rate information, and track every renewal deadline through completion.
  • Terms & Reinstatements - Process employer and group terminations, then reinstate groups and members when coverage resumes. Confirm the billing and carrier impact of each change.
  • New Group & Renewal Audits - Check each new group and renewal against its source documents. Maintain the audit engine, and correct errors before they reach a carrier or member.
  • Broker Management - Keep broker records current, answer producer questions, and support broker commissions and case closing.
  • Reporting - Build recurring and ad-hoc reports in Excel and Cleaner Reports. Support ACA reporting and send compliance notices (SAR, Medicare Part D, CMS disclosure, Form M-1).
  • Trust Meeting Support - Prepare reports and materials for trust meetings, record action items, and follow up until each one closes. Track deadlines and deliverables for your assigned trusts.
  • EDI Support - Start manual carrier loads, review 834 suspensions and reconcile eligibility between SIMON and carriers. EDI (electronic data interchange) 834 files carry enrollment data to carriers.

YOU WILL ALSO PROVIDE GENERAL SUPPORT

  • Keep detailed logs, documentation and audit trails in internal systems.
  • Act as the liaison between clients, brokers, insurance carriers and providers.
  • Contribute to internal initiatives, process documentation and cross-functional projects.
  • Help other departments with overflow work and special assignments.

WHAT YOU BRING

  • High school diploma or GED required. Associate or bachelor's degree preferred.
  • 1+ years in customer service, administrative support, operations or customer success.
  • 1-2 years in benefits, eligibility, billing, and enrollment/Benefits Administration Experience
  • Advanced Microsoft Office skills, especially Excel (pivot tables, formulas, reporting).
  • Salesforce or another CRM (preferred).
  • Working knowledge of EDI 834 files or carrier eligibility feeds (preferred).
  • Strong math, analytical and problem-solving skills.
  • Clear verbal and written communication with a professional tone.
  • High accuracy, attention to detail and respect for confidentiality.
  • Skill at managing large workloads, shifting priorities and firm deadlines while working remotely.
  • Comfort with Teams, Zoom and shared drives.

What Will Help You Excel

  • Alignment with Vimly's values and strategic goals.
  • Strong interpersonal skills and a customer-first mindset.
  • Organization and time-management habits that hold up under volume.
  • Composure under pressure and in challenging conversations.
  • High integrity and sound judgment.
  • Self-motivation and willingness to learn and take on new responsibilities.
  • Project management skills and comfort with changing processes.

Home to tech titans like Microsoft and Amazon, Seattle punches far above its weight in innovation. But its surrounding mountains, sprinkled with world-famous hiking trails and climbing routes, make the city a destination for outdoorsy types as well. Established as a logging town before shifting to shipbuilding and logistics, the Emerald City is now known for its contributions to aerospace, software, biotech and cloud computing. And its status as a thriving tech ecosystem is attracting out-of-town companies looking to establish new tech and engineering hubs.

Key Facts About Seattle Tech

  • Number of Tech Workers: 287,000; 13% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Amazon, Microsoft, Meta, Google
  • Key Industries: Artificial intelligence, cloud computing, software, biotechnology, game development
  • Funding Landscape: $3.1 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Madrona, Fuse, Tola, Maveron
  • Research Centers and Universities: University of Washington, Seattle University, Seattle Pacific University, Allen Institute for Brain Science, Bill & Melinda Gates Foundation, Seattle Children’s Research Institute
