About the Role
TeamFicient is looking for a CRM Automation Specialist to configure, customize, and automate our CRM/ATS environments — Salesforce, GoHighLevel, and Zoho (including Zoho Recruit specifically) — building reusable workflows, AI-assisted features, and reporting that reduce manual work while keeping humans in control of key decisions. This is a solo, fixed-scope engagement: you own execution end to end, with IT touchpoints and management check-ins only as needed. You'll submit your own RFQ (proposed approach, timeline, hours, and cost) as part of the process.

Core Responsibilities
CRM & ATS Configuration

  • Assess CRM/ATS requirements and recommend platform/configuration approach

  • Configure objects, fields, pipelines, layouts, forms, permissions, and automation

  • Standardize the recruitment stage model in Zoho Recruit and align it across active job openings

Automation & Reporting

  • Automate communications (email alerts/templates, bulk email, interview scheduling, talent-pool nurturing)

  • Build reports, dashboards, and custom views for pipeline/recruitment or CRM activity

AI & Documentation

  • Evaluate and implement AI-assisted features (matching, scoring, resume parsing, or CRM AI workflows) with human-review controls

  • Develop reusable configurations/templates and admin/SOP documentation

Candidate Qualifications
Must-Haves

  • Hands-on configuration experience with Zoho (Recruit and/or CRM), and ideally Salesforce or GoHighLevel too

  • API integration experience

  • Experience designing auditable, human-reviewed AI-assisted workflows (not fully automated decisioning)

Good to Haves

  • Prior recruiting/ATS-specific implementation experience

  • Experience building multi-tenant/reusable CRM templates for future client use

Application Requirements
To apply for this project, please be prepared to submit:

  • A portfolio of relevant, comparable work

  • An RFQ (Request for Quotation) covering:

    • What you propose to do

    • How you would do it

    • What's included (and what's excluded)

    • Estimated timeline and hours

    • Total cost, plus any additional/recurring costs

    • What you'll need from TeamFicient to execute

    • Risks, limitations, and assumptions

  • Willingness to sign an NDA and Project Agreement before receiving full project details and credentials

  • Willingness to undergo a background check

What you need to know about the Seattle Tech Scene

Home to tech titans like Microsoft and Amazon, Seattle punches far above its weight in innovation. But its surrounding mountains, sprinkled with world-famous hiking trails and climbing routes, make the city a destination for outdoorsy types as well. Established as a logging town before shifting to shipbuilding and logistics, the Emerald City is now known for its contributions to aerospace, software, biotech and cloud computing. And its status as a thriving tech ecosystem is attracting out-of-town companies looking to establish new tech and engineering hubs.

Key Facts About Seattle Tech

  • Number of Tech Workers: 287,000; 13% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Amazon, Microsoft, Meta, Google
  • Key Industries: Artificial intelligence, cloud computing, software, biotechnology, game development
  • Funding Landscape: $3.1 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Madrona, Fuse, Tola, Maveron
  • Research Centers and Universities: University of Washington, Seattle University, Seattle Pacific University, Allen Institute for Brain Science, Bill & Melinda Gates Foundation, Seattle Children’s Research Institute
