Job Description

The Epic Scheduling Template Analyst is responsible for the creation of, and updates to, provider templates for assigned areas incorporating the Guidelines for Template Standardization. Monitors master and daily schedule change requests. Works with Providers, Clinic/Practice Managers, Supervisors and/or Secretaries, and Schedulers to identify the most efficient, streamlined appointment scheduling process by incorporating various scheduling options into the provider schedule definition. Assists with the training of Template Builders to ensure consistency and adherence to all approved scheduling standards. Develops and modifies scheduling templates to optimize provider time in clinics; assists in improving patient access, provider book rates, and provider productivity.

Key Responsibilities:

  • Provides oversight of master schedule templates for new and existing providers including new appointment type requests (i.e. new patient; established patient; urgent; etc.) and visit type load balance.

  • Works in conjunction with Ambulatory Operations to identify, review, and make recommendations to Providers and Practice Managers of suggested master template enhancements.

  • Ensures change requests are completed according to process guidelines including changes to existing appointment types, working off worklist and proper worklist assignment of bumped patients.

  • Maintains detailed documentation to support change requests within ServiceNow.

  • Communicates status of change requests with Providers, Senior Directors, Clinic/Practice Managers, Group Administrators, Supervisors and/or Secretaries, and Schedulers via Service Now.

  • Identifies need for scheduling changes based on review of scheduling set-up and change requests, as well as scheduling scenarios and trends.

  • Works with EPIC Cadence Team and other I.S. resources to optimize functionality of systems.

  • Recommends improved processes and changes to scheduling definition to provide the most efficient method of scheduling for schedulers and group secretaries.

  • Recommends improved processes, including enhanced system functionality, that address specific clinical, operational and business critical success factors.

  • Monitors schedules to assure templates are being utilized as designed.

  • Provides technical and administrative support to the scheduling areas.

  • Prepares and delivers presentations related to master schedules as requested by Ambulatory Operations

  • Works closely with the clinic practices and Practice Managers on scheduling and capacity related projects.

  • Suggests the use of new products and techniques as they are made available.

  • Identifies potential training needs and works with clinic practices and Practice Managers to provide appropriate training.

  • Performs additional tasks, which may be assigned, to maintain or improve the conduct of business.

  • Standard Staffing Level Responsibilities

  • Complies with established departmental policies, procedures and objectives.

  • Attends variety of meetings, conferences, seminars as required or directed.

  • Demonstrates use of Quality Improvement in daily operations.

  • Complies with all health and safety regulations and requirements.

  • Maintains, regular, reliable, and predictable attendance.

  • Performs other similar and related duties as required or directed.

Required Qualifications:

  • 3 years of scheduling experience

  • 1 year of master template experience

  • Proficiency in medical terminology.

  • EPIC Cadence system.

  • MS Office

  • Bachelor's Degree or equivalent combination of education and experience

Preferred Qualifications:

  • Master template experience in healthcare environment

Compensation is determined based on years of relevant experience and departmental equity.
