Customer Value Creation (CVC) in Microsoft Security sits at the intersection of engineering and customers, connecting innovation and insights to accelerate customer value. We help ensure that what we learn from customers informs what we build, and that what we build creates measurable value for customers.


We are seeking an experienced Executive Admin to support the Corporate Vice President of CVC. This role serves as a trusted partner to the executive and executive office, enabling organizational effectiveness through strategic calendar management, event and resource coordination, travel management, and cross-stakeholder collaboration.


The ideal candidate has experience supporting senior executives in a fast-paced, global environment. They bring structure to ambiguity, adapt quickly to changing priorities, and combine sound judgement, discretion, and attention to detail with a proactive, positive approach. Success in this role requires strong follow-through, the ability to anticipate needs before they arise, and helping the leadership team stay focused on its highest-impact priorities.

Responsibilities

Executive Calendar Management and Prioritization

  • Provides highly strategic calendar management for the CVP, balancing business priorities, customer engagements, executive commitments, and organizational rhythms.
  • Exercises sound judgment and discretion to prioritize competing demands, urgent escalations, and high-impact opportunities.
  • Anticipates needs, proactively resolve scheduling conflicts, and optimize executive effectiveness.
  • Represents the executive office in coordinating meetings with senior leaders, customers, partners, and stakeholders.
  • Partners closely with the Chief of Staff and leadership team to manage and continuously improve the organization's annual Rhythm of Business (ROB).

Cross-Stakeholder Collaboration and Communication

  • Builds strong relationships across Microsoft and serve as a trusted liaison between executives, business partners, customers, and stakeholders.
  • Proactively drives communication and liaises between executives, central teams, and other business partners to share information and best practices that drive efficiency across organizations.
  • Uses executive maturity, independent judgment, discretion, business insights, and perspectives to drive collaboration and communication.
  • Communicates with executive external partners, customers and third parties. 
  • Represents the executive office with professionalism, integrity, and sound judgment.

Event Coordination and Logistics

  • Supports planning and execution of leadership meetings, employee events, customer engagements, town halls, and executive visits, while maintaining fiscal responsibility and demonstrating executive presence.
  • Develops workback schedule and necessary checkpoints. Provides high-level guidance to address complex issues with meeting/event preparation and mitigates problems.
  • Ensures events are designed with global and remote teams in mind, creating a consistent and inclusive experience for all participants.  
  • Advises on post-event close out, and provides direction to team members.

 

Resource and Financial Management

  • Manage executive office expenses, budgets, purchase requests, and operational processes.
  • Partner closely with Chief of Staff, Finance, Human Resources, and Business Management teams on budget and resource management.
  • Ensure compliance with company policies and procedures.
  • Support administrative and operational planning activities across the executive office.
  • Partners with the appropriate teams (e.g., Real Estate & Facilities, space planner owners, upper management) to manage office space and address complex space issues escalated to the executive office.  

Travel Management

  • Manages and oversees all travel arrangements and logistics for executive. Creates detailed itineraries/agendas by setting and managing travel expectations to maximize trip productivity.
  • Maintains availability and acts with urgency to address changes, issues, and escalations that arise during business travel.
  • Drives proactive communication across stakeholders ahead of travel and communicates with domestic and international stakeholders.
  • Manages and ensures required documents (e.g., visas, passports, immunization records) for international travel.
  • Manages and ensures compliance with US Travel Tax Tool. Disseminates and enforces travel policies and expectations.
  • May accompany executive on business trips to provide onsite support.  

Leadership

  • Leads by example by demonstrating executive presence, and encouraging others to raise their own standards of excellence.
  • Assesses and adapts to challenging situations and maintains professional composure. Navigates complex challenges by influencing with high impact and exhibiting diplomacy, tact, and empathy.
  • Leads and fosters executive admin community across CVC, driving best practices, knowledge sharing, and consistent standards across the organization.


Qualifications

Required Qualifications

  • 7+ years of administrative, business support, customer service, or executive support experience with responsibility for executive calendaring, meeting logistics, travel management, and business operations


Other Requirements: Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings:

  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft background and Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred Qualifications

  • Bachelor's Degree in Business Administration, Communications, Human Resources, Marketing, Psychology, Sociology, or a related field, OR equivalent experience.
  • 6+ years of experience mentoring others or serving as a formal or informal leader within a business support organization.
  • 10+ years of experience managing administrative budgets, including events, morale, travel, and training expenditures.
  • Demonstrated ability to manage highly complex calendars and competing priorities using sound judgment and independent decision-making.
  • Proven ability to handle highly confidential information with discretion and professionalism.
  • Proficiency with Microsoft 365 tools and modern collaboration technologies.
  • Experience supporting a Corporate Vice President or equivalent executive leader.
  • Experience partnering with Chiefs of Staff, Business Managers, HR, Finance, and Communications teams.
  • Experience supporting global organizations and executives operating across multiple regions and time zones.

Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $33.89 - $67.16 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $45.67 - $73.65 per hour.
