The Campaign Enablement & Innovation team is seeking an Executive Business Administrator to deliver high-quality administrative and operational support for up to two General Managers. This role operates in a fast-paced, highly collaborative environment and requires someone who can think ten steps ahead, manage multiple priorities, and execute with precision and urgency. Responsibilities
  • Executive Calendar & Time Management
  • Own strategic calendar management, aligning leader time with business priorities
  • Anticipate conflicts, proactively adjust schedules, and drive effective time allocation
  • Ensure leaders are well-prepared with agendas, briefing materials, and logistics Executive & Stakeholder Engagement
  • Serve as a trusted partner and representative of leadership with internal and external stakeholders
  • Facilitate cross-organizational communication and information flow
  • Partner closely with Chiefs of Staff, Business Managers, HR, and key stakeholders to enable decision-making Operational Excellence & Rhythm of Business (ROB)
  • Support and execute team and leadership rhythms, including staff meetings, reviews, and planning cadences
  • Track follow-ups and action items to ensure alignment and execution across teams 
  • Continuously improving processes and operational efficiency Cross-Functional Collaboration
  • Build partnerships across teams to support organizational initiatives 
  • Navigate ambiguity and drive alignment in a highly matrixed environment
  • Act as a liaison across organizations to support priorities and business outcomes Travel & Logistics Management
  • Coordinate complex domestic and international travel, including itineraries and logistics
  • Provide real-time support to leaders during travel and manage escalations as needed Events & Team Engagement
  • Plan and execute team events, leadership meetings, and offsites
  • Manage vendors, logistics, budgets, and communications to deliver high-quality experiences Resource & Budget Management
  • Support budget tracking, expenses, and procurement processes
  • Ensure compliance with company policies and financial guidelines Organizational Support & Culture
  • Contribute to a positive, inclusive, and collaborative team culture
  • Support onboarding/offboarding and team operations
  • Mentor peers and share proven practices within the Business Support community

Qualifications
Required Qualifications
  • 5+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
Preferred Qualifications
  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Experience managing complex calendars, travel, and executive-level coordination
  • Proficiency in MOS (Microsoft Office Suite), particularly Outlook, Excel, PowerPoint, and Teams.
  • Calendaring expertise, including managing complex schedules across leaders and time zones. 
  • Highly detail-oriented with the ability to anticipate needs and think several steps ahead.
  • Proven ability to act with a sense of urgency, balancing speed with accuracy. 
  • Self-motivated and proactive, with a track record of independently driving tasks and seeing them through to completion.
  • Direct, confident communicator who can move work forward, remove barriers, and help drive the processes needed to support business momentum.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $31.49 - $51.97 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $42.93 - $59.33 per hour.
