Receives and directs visitors and telephone callers, routes calls and faxes, manages keys, room reservations, applications, schedules, supplies, mail, and reception areas. Supports office staff through administrative tasks, announcements, filing, memo distribution, and facility closing procedures. Requires professional customer service, confidentiality, basic computer skills, and a valid Washington State driver’s license. Local, statewide, and out-of-state travel may be required.
The purpose of this position is: to receive visitors and telephone callers at the Tribal Center, determine the nature of their visit/call, and direct them to the appropriate person, telephone extension, or information; and to perform a variety of administrative duties to support office staff.
Duties Include:
- Answer all in-coming phone calls. Forward calls to employees extension. Take messages for executive and administrative staff.
- Greet all visitors in a professional and polite manner and direct where appropriate.
- Maintain a tidy reception area at all times.
- Maintain the van sign out book and keys.
- Check for returned kitchen/vehicle keys.
- Place recycling bins by road.
- Maintain room reservation system on the website.
- Maintain file of Kitchen Applications.
- Issue Kitchen key to individuals and maintain key sign out sheet.
- Print out the Kitchen/Gym schedule for maintenance.
- Prepare all outgoing mail by stamping, return receipt requested, certified, UPS or Fed Ex pickup.
- Prepare weekly memo for printing and distribution by hand delivery and email.
- Maintain reception kitchen area ensuring coffee and hot water are available at all times.
- Rout in-coming faxes.
- Maintain general supplies for copier, printer, fax and postage machines.
- Maintain complete file system for outside applications such as DSHS, Commodities, etc.
- Secure Main Tribal Center at end of day by locking doors, turning off lights and emptying coffee/water carafes.
- Page staff/visitors and make public announcements through phone system.
- Other duties as assigned.
Qualifications:
- Education/Experience: High School Diploma or Graduate Equivalency Degree (G.E.D.)
- Licensing/Certification: Must have a valid Washington State Drivers License.
- Personal/Computer Skills: Basic personal computer skills are required, as well as the ability to learn word processing, spread sheet and other software programs.
- Other: Strong customer service skills, excellent manners, professional image and strong initiative to help.
- Ability to work well with other Tribal staff and maintain positive public relations within and outside the community.
- Confidentiality is a must.
Physical Requirements:
- Regularly required to finger, handle, reach with hands and arms
- Frequently required to walk, sit, stand
- Occasionally required to lift and/or move up to 25 pounds
- Normal audio and visual acuity
Travel Requirements:
- Local, statewide and out of state travel may be required.
