Position Summary:

The Legal Operations Specialist is a key member of F5's Office of the General Counsel, reporting to the Sr. Manager, Legal Operations. This role partners with attorneys, legal professionals, vendors, and business stakeholders across multiple locations to support legal technology, financial operations, knowledge management, training programs, and department operations. The position helps drive operational efficiency, adoption of legal tools, and a consistent, high-quality experience across the global legal team.

The ideal candidate is highly organized, detail-oriented, and client-service focused, with strong communication skills and the ability to manage competing priorities in a fast-paced environment. Success in this role requires professionalism, sound judgment, collaboration, and the ability to handle sensitive and confidential information with integrity and discretion while helping the legal team work more efficiently and effectively.

Primary Responsibilities:

  • Support Legal Operations Technology and Tool Enablement

E-Billing Platform Support: Assist with legal e-billing platform operations, including matter setup, invoice processing and workflows, budget and accrual tracking, user support, and reporting.

Enterprise Legal Training Platform Support: Coordinate legal training launches, manage training platform support, prepare reporting, and assist team members with access, completion, and follow-up needs.

Legal Team Education Platform: Administer the online legal education platform, manage user access, promote course awareness, and support ongoing education for the legal team.

CLM Operational Support: Provide operational support for the Legal Operations CLM team and attorney users as needed, including tool support, process assistance, issue coordination, and contract signatures.

Collaboration Tools: Oversee organization and maintenance of shared collaboration tools and resources, including SharePoint sites, Teams channels, and Outlook distribution lists, ensuring efficient team communication and documentation management.

Dashboard & Reporting Support: Maintain and update standard dashboards and reports within Legal Operations tools, track key metrics and trends, and prepare recurring reporting.

  • Facilitate Outside Counsel, Vendor and Financial Management

Support rate reviews and vendor onboarding, track outside counsel guidelines, addressing law firm questions related to matters and invoicing, and assisting with quarterly budgeting, monthly accruals, financial reporting, dashboard updates, purchase order tracking, and other financial management activities.

  • Drive Knowledge Management and Communications

Knowledge Management: Document legal operations processes, maintain legal document version control, and help legal team members use tools, templates, and technology effectively through guides and resource documentation.

Training Calendar & Roadmap: Coordinate the legal training schedule and roadmap in partnership with Legal Operations and practice team stakeholders.

Communications: Prepare clear team communications, including announcements, instructions, reminders, helpful tips, and legal operations updates.

  • Operational Execution

Legal Service Enablement: Oversee day-to-day office operations for Seattle-based legal team, including mail distribution, package management, travel and expense coordination, purchasing support, printing and scanning, and document execution (signatures, notarizations, legalizations).  Serve as backup support to the General Counsel’s Executive Assistant as needed.

Onboarding & Team Support: Coordinate new hire onboarding logistics including workspace set up, provide training on office equipment and systems (copier, printers, etc), orient team members to office locations and resources, and serve as first point of contact for onboarding questions and support needs.

Team Event Execution: Play a key role in planning and executing on-site and off-site legal team events, including logistics, coordination, and day-of support.

  • Confidentiality: Maintain the confidentiality of sensitive information and handle all legal work with discretion.

Knowledge, Skills, and Abilities:

  • Experience supporting an in-house legal department and understanding legal operations practices and stakeholder needs.
  • Exercises sound judgment and discretion, with the ability to appropriately identify, assess, and escalate risks, issues, and concerns when needed.
  • Comfortable embracing quick change and administering and adopting new technologies and tools.
  • Familiar with enterprise AI solutions, agents, and workflows; experience with Gemini is a plus.
  • Exceptional organizational skills, attention to detail, and ability to manage competing priorities.
  • Strong client-service orientation and ability to build effective partnerships across stakeholders.
  • Communicates clearly, professionally, and effectively across a variety of audiences.
  • Demonstrates ownership, accountability and consistently drives tasks through to completion.

Qualifications:

  • Associates degree or higher (Business, Legal Studies, Operations, Finance, Technology, or related field) or relevant number of years of experience
  • 3+ years of legal operations, legal administrative, paralegal, or business operations experience
  • Strong computer skills and ability to quickly learn new software platforms
  • Working knowledge of AI workplace tools (Gemini, Copilot, etc.), with demonstrated ability to use them to improve proficiency and efficiency
  •  Proficiency in MS Office applications (Excel, Word, PowerPoint, SharePoint, Outlook)
  • Experience with DocuSign, Adobe products, or similar business applications
  • Certified Notary Public or willing to obtain license

Preferred Qualifications

  • Familiarity with basic reporting, data tracking, and dashboards (Power BI experience a plus)
  • Exposure to legal department tools (Legal Tracker, ServiceNow, Contract Lifecycle Management software)
  • Experience coordinating across multiple teams and external stakeholders in different time zones or locations

Physical Demands and Work Environment:

  • Work Location Requirement: This role requires working onsite at the F5 Tower in downtown Seattle a minimum of four days per week, subject to business needs. In-office requirements may be adjusted in accordance with F5 workplace policies and business needs. 

  • This role may require occasional weekend, holiday or outside business hours work to support business priorities.
  • Duties are performed in a normal office environment while sitting at a desk or computer table. This role requires occasional travel (<10%),including international trips, and the ability to obtain and maintain a valid passport and any necessary visas.
  • Ability to occasionally move files/documents weighting up to 20lbs.

The annual base pay for this position is: $58,600.00 - $87,800.00

F5 maintains broad salary ranges for its roles in order to account for variations in knowledge, skills, experience, geographic locations, and market conditions, as well as to reflect F5’s differing products, industries, and lines of business. The pay range referenced is as of the time of the job posting and is subject to change.
