This position will report to the VP of the Claim Legal Department by providing organized and diligent administration of the legal technology platforms and related applications. Responsibilities include facilitating engagement and management of outside law firms including onboarding, guideline compliance, rate and timekeeper management. The right candidate will bring a balance of technical expertise, understanding of claim litigation, law firm engagements, strong organization, analytical abilities, interpersonal skills, and execution to the table. Maintains a solid understanding of AmTrust’s mission, vision, and values. Upholds the standards of the AmTrust organization.
ResponsibilitiesLegal Technology Administration
- Serve as the primary administrator for claims legal technology platforms, including matter management, legal referral, e-billing, and related legal operations applications.
- Maintain platform configuration, routing tables, organizational data, user access requests, and system administration activities to ensure data accuracy and operational effectiveness.
- Act as a subject matter expert for legal technology enhancement initiatives, upgrades, testing, and implementation projects.
- Partner with Information Technology and business stakeholders to identify opportunities for process improvement, automation, and increased operational efficiency.
- Assist with platform reporting, data analysis, and operational metrics to support Claims Legal leadership decision-making.
- Troubleshoot platform-related issues and coordinate resolution with vendors, technology teams, and business partners.
Legal Referral Management
- Administer legal referral processes, exception management workflows, and required approval procedures to ensure compliance with department guidelines.
- Support intake, assignment, transfer, and ongoing management of litigated matters within department systems.
- Coordinate activities related to matter transfers, including tracking, communication, and execution of required operational tasks.
- Respond to inquiries from Claims professionals regarding legal processes, panel counsel engagement, matter assignment protocols, and litigation management procedures.
- Monitor workflow compliance and identify opportunities to enhance consistency, efficiency, and service delivery throughout the claims litigation process.
- Support special projects, operational initiatives, and departmental process improvement efforts as assigned.
Law Firm Data Governance
- Administer outside counsel onboarding processes, ensuring completion of required documentation, credentials, and compliance requirements.
- Maintain accurate law firm, office, attorney, timekeeper, and rate information across legal operations systems.
- Establish and enforce data quality standards supporting panel counsel management and legal spend oversight.
- Validate and maintain legal referral data to ensure appropriate geographic, jurisdictional, and practice-specific routing.
- Support ongoing management of outside counsel guidelines, law firm compliance requirements, and related governance controls.
- Assist with data reviews, audits, and reporting activities to support panel management and operational oversight.
Outside Counsel Technical Support
- Serve as a primary point of contact for outside law firms regarding litigation management, matter management, and e-billing system questions
- Provide training, guidance, and support to law firms related to technology platforms, billing requirements, and operational processes.
- Assist law firms in resolving system access, user management, and workflow-related issues.
- Communicate legal operations requirements, system updates, and procedural changes to outside counsel and internal stakeholders.
- Facilitate effective collaboration between Claims, Claims Legal, outside counsel, and technology vendors to support successful matter management.
Operational Support & Customer Service
- Deliver responsive and professional customer service to internal business partners, insureds, outside counsel, vendors, and other stakeholders.
- Research and respond to inquiries regarding law firm participation, legal operations processes, and litigation management activities.
- Gather information and provide analysis to Claims Legal leadership regarding law firm performance, operational issues, and process concerns.
- Support departmental reporting, communications, audits, and operational initiatives.
- Perform additional duties and projects consistent with the objectives of the Claims Legal Operations function.
- Bachelor’s degree or equivalent experience
- 5 years minimum experience in a litigation environment (law firm, insurance company litigation, or litigation services vendor)
- Ability to work independently with minimal oversight.
- Experience with insurance and/or claim legal operations.
- An understanding of the law firm operating model, staffing and business operations.
- Impeccable attention to detail and exceptional professional judgment.
- Excellent organizational and communication skills with the ability to develop, implement and enhance processes.
- Ability to execute within timelines while balancing multiple priorities.
- Experience with legal technology solutions including matter management, e-billing and legal spend analytics platforms.
- Strong verbal and written communication skills.
- Experience with MS Office and proficiency in Excel
- Demonstrated written and oral communication skills
Preferred:
- Property Casualty Insurance industry experience
- Paralegal Certificate
- Sharepoint experience
