Order Services Specialist (Order Processing, Order Management)

THE POSITION
We're seeking an industrious, highly detail-oriented individual who can make a positive impact on our team as an Order Services Specialist. In this position, you will interact and collaborate across multiple teams, playing a key role in supporting the continued, rapid growth of the company. You will help develop and maintain critical fulfillment processes, coordinate across departments to drive accurate and timely order execution, and set the tone for our customer experience.
This role sits at the intersection of customer service, operations, and cross-functional coordination; making it well-suited for someone who thrives in a dynamic environment, enjoys solving problems, and takes pride in keeping things organized and running smoothly.
IN THIS POSITION, YOU WILL:
Order Processing & Fulfillment
- Process incoming orders and track shipments through delivery, ensuring timely and accurate execution at every stage.
- Review incoming credit card and purchase orders to identify new customers and ensure all required information is in place for fulfillment.
- Gather and verify customer intake data including legal entity name, contact information, shipping and billing addresses, and relevant tax information.
- Reference quotes to confirm pricing accuracy and inform the appropriate sales representative of new orders.
- Enter sales and purchase orders into the ERP system (NetSuite) with a keen eye for accuracy and completeness.
- Validate data of each transaction and record creation, identifying and resolving discrepancies to determine root cause and recommend corrective actions.
Coordination & Communication
- Liaise with Production and Shipping/Receiving teams regarding product availability and ship dates, keeping sales representatives and customers informed of anticipated delivery timelines.
- Assign service to relevant orders and manage the service status board, coordinating with responsible teams to ensure timely execution.
- Review the Order Dashboard with the Sales team on a weekly basis.
- Serve as a reliable point of contact for internal teams and customers, managing competing priorities and time-sensitive requests with professionalism and composure.
Documentation & Process Improvement
- Maintain and update work instruction documents to ensure accuracy and accessibility for the team.
- Maintain metrics and monitor shipment status, escalating or expediting when necessary.
- Collaborate on projects to improve communication and operational workflows between teams.
- Contribute to building and refining scalable processes as the company grows.
FOR THIS POSITION, WE LOOK FOR
- 2+ years of relevant experience in order management, customer service, operations, or a related field
- 1+ years of experience using NetSuite or a similar ERP system
- Proficiency in standard productivity tools including Microsoft Office (Word, Excel, Outlook), shared document platforms (e.g. OneDrive, SharePoint, or Google Drive), and collaboration or project management tools
- Strong attention to detail and a high degree of accuracy in data entry and record management
- Excellent organizational skills with the ability to manage multiple tasks, deadlines, and priorities simultaneously
- Clear and professional communication skills – written and verbal – with the ability to coordinate effectively across departments and with customers
- A proactive, problem-solving mindset with the ability to investigate issues independently and recommend solutions
- Comfort working in a fast-paced, evolving environment where processes are still being built and refined
- A team-first mindset and collaborative approach to work
JOB CONDITIONS
- Primarily an open concept office environment position with an assigned desk
- Extensive computer time (laptop, monitors, mice, and other key accessories provided)
- Able to work in and around a laboratory environment
