Payroll Benefits Administrator, Canada

Must be fully fluent in French and English. This is a Temporary to Permanent Position with a global organization.

Position Summary:

The Benefits Administrator, Canada supports the administration of Canadian employee benefit programs. Full knowledge of benefits administration at an Intermediate Level is Required.

You will serve as a key liaison among employees, Human Resources, Payroll, benefit vendors, and external benefit consultants. With benefit administration services primarily managed by external partners, this role is responsible for coordinating internal processes, managing escalations, ensuring data integrity, and supporting benefit program operations.

The Benefits Administrator helps maintain positive employee experience through effective issue resolution, vendor coordination, payroll administration support, and oversight of benefit-related data and processes.

Essential Responsibilities:

Vendor Coordination

  • Act as the primary internal contact for benefit carriers, administrators, consultants, and service providers.
  • Coordinate vendor communications and issue resolution activities.
  • Monitor vendor responsiveness and escalate issues as necessary.
  • Participate in regular service review meetings with external partners.

Benefits Administration

  • Support employee eligibility, enrollment, and benefit change processes.
  • Assist with annual enrollment and employee communications.
  • Maintain benefit records and administrative documentation.
  • Coordinate benefit updates associated with employee status changes.

Payroll and Billing Administration

  • Validate employee benefit deductions and contributions.
  • Review carrier invoices and reconcile billing discrepancies.
  • Partner with Payroll to ensure accurate benefit processing.
  • Investigate and resolve enrollment and deduction discrepancies.

Data Integrity and System Support

  • Conduct audits of employee and vendor data.
  • Monitor benefit eligibility and enrollment records.
  • Support data accuracy between HR, Payroll, and vendor systems.
  • Assist with testing and validation of system updates impacting benefits.

Employee Support and Escalations

  • Support employees with complex or escalated benefit-related questions.
  • Coordinate with vendors and internal stakeholders to resolve benefit issues.
  • Assist employees navigating disability, leave, and accommodation-related benefit concerns.
  • Protect the confidentiality of employee information.

Governance and Reporting

  • Maintain benefit administration records and documentation.
  • Support governance meetings through preparation of materials and follow-up tracking.
  • Produce routine reporting related to enrollment, billing, and vendor performance.
  • Assist with audit requests and documentation requirements.

Requirements

Qualifications:

Education

  • Associate or bachelor’s degree in human resources, Business Administration, or related field preferred.

Experience

  • 2-4 years of benefits, HR, payroll, or related administrative experience.
  • Experience working with benefit carriers, consultants, or third-party vendors preferred.
  • Experience supporting employee-facing processes.

Knowledge and Skills

  • Understanding of Canadian employee benefit programs and administration.
  • Strong organizational and administrative skills.
  • High attention to detail and accuracy.
  • Excellent customer service and communication abilities.
  • Ability to handle sensitive and confidential information.
  • Proficiency with HRIS, payroll systems, and Microsoft Office applications.
