Job Description

The Project Administrator provides essential administrative, operational, and coordination support to the Director of Cost Management and the wider Cost Management (CM) Team. The role ensures effective project administration, supports business operations, and contributes to the overall efficiency of the Cost Management function.

Key Responsibilities

Project & Administrative Support

  • Provide day‑to‑day administrative support for cost management projects.
  • Maintain project documentation, filing, and data accuracy across systems (e.g., CDA, Hive, D365).
  • Support preparation and collation of consultant, client, and vendor contact lists.
  • Assist in preparing presentation materials, meeting notes, team updates, and internal reports.
  • Support CM team meetings, including agenda preparation and follow‑up actions.

Commercial & Invoicing Support

  • Support the invoicing process, including tracking, organising supporting documents, and liaising with finance/business operations.
  • Assist in drafting fee letters, bid submissions, and supporting documents for proposals.

Data Analytics, Reporting & Benchmarking

  • Assist in collecting and validating data for project benchmarking and cost analytics.
  • Support cost estimate preparation by extracting quantities or data via CostX.
  • Maintain trackers, reporting tools, and simple dashboards for team review.

Business Operations & Team Coordination

  • Work closely with business operations teams to support office facilities, procurement requests, and team well‑being initiatives.
  • Support compliance and administrative processes for project milestones or closure requirements.
  • Coordinate with consultants, clients, and vendors on administrative matters.

Continuous Improvement & Adaptability

  • Proactively identify opportunities to streamline workflows and improve team efficiency.
  • Demonstrate understanding of the construction and cost management environment.
  • Adapt to evolving business needs and support new initiatives as required.

Qualifications

  • Diploma or degree in Business Administration, Project Management, Facilities Management, Construction, or related fields (preferred).
  • 2-4 years working experience 
  • Prior administrative or project coordination experience is an advantage.
  • Demonstrated ability to work in a fast paced and high-pressure environment, to meet often tight deadlines, and to work pro-actively as part of a committed team
  • Ability to write reports, draft minutes and attend meetings with international clients
  • Working knowledge of MS Office suite of products &, preferable to be proficient in Microsoft project, Microsoft Power BI.
  • Strong organisational skills with attention to detail.
  • Proactive, resourceful, and solutions‑oriented.
  • Good communication and interpersonal skills.
  • Ability to multi‑task and manage deadlines.
  • Comfortable with digital tools and systems.

Interest or knowledge in construction, real estate, or cost management (advantageous).
