Summary:

In this role, you will serve as a strategic and operational partner to senior leaders within Spend Management Services. You will operate as an extension of your executives, translating priorities into action, creating structure around complex work, and ensuring seamless execution across meetings, initiatives, communications, and business operations.

You will manage complex, confidential, and highly visible responsibilities that require advanced judgment, strong business acumen, and ownership. The ideal candidate is proactive, resourceful, comfortable operating in ambiguity, and able to identify risks, improve processes, maintain accountability, and move work forward with increasing autonomy.

Responsibilities:

Executive Time, Calendar & Meeting Strategy

  • Strategically manage complex and dynamic calendars, aligning executive time with business priorities and anticipating conflicts, dependencies, and preparation needs.
  • Coordinate in-person, hybrid, and virtual meetings with clear objectives, agendas, materials, logistics, notes, decisions, and follow-up actions.
  • Translate meeting outcomes into prioritized task lists, ownership, deadlines, and reminders to support consistent follow-through.
  • Manage executive inbox priorities as appropriate, including filtering, flagging, drafting responses, and identifying items requiring executive attention.

Executive Preparation & Communications

  • Conduct background research and develop briefing materials, presentations, reports, and talking points for high-visibility meetings and discussions.
  • Draft, edit, and manage executive-level correspondence and internal communications with clarity, precision, and appropriate judgment.
  • Prepare recurring status updates, leadership reports, and performance summaries by gathering and organizing relevant business information.
  • Represent executives professionally in internal and external interactions and serve as a trusted communication liaison across stakeholders.

Operational, Project & Process Management

  • Design and maintain systems to track initiatives, commitments, project timelines, deliverables, decisions, and dependencies across multiple workstreams.
  • Coordinate cross-functional efforts, recurring workflows, and special projects from planning through completion, escalating risks and removing obstacles as needed.
  • Develop, document, maintain, and improve standard operating procedures, playbooks, checklists, and repeatable business processes.
  • Identify inefficiencies and recommend practical process, workflow, or technology improvements that increase effectiveness and reduce administrative burden.
  • Support adoption of project management tools, dashboards, and reporting systems that improve visibility, accountability, and execution.
  • Bring a high level of AI business acumen, a willingness to continuously learn and use available AI tools, and the ability to support implementation and adoption of AI-enabled practices across the team.

Business Rhythm, Metrics & Planning

  • Support weekly, monthly, quarterly, and annual operating rhythms, including planning sessions, leadership meetings, business reviews, and strategic offsites.
  • Track key goals, milestones, KPIs, and other business metrics in spreadsheets or dashboards; prepare concise summaries for leadership review.
  • Coordinate planning materials, action-item follow-up, and accountability mechanisms to help leaders maintain momentum on strategic priorities.
  • Compile targeted market, industry, vendor, or partnership research when needed to support business decisions and executive preparation.

Stakeholder, Vendor & Relationship Management

  • Build trusted relationships across Spend Management Services, Administrative Services, enterprise partners, and external stakeholders.
  • Coordinate with internal partners and vendors on events, services, agreements, renewals, deliverables, and other business needs within role scope.
  • Navigate sensitive or complex situations with discretion, sound judgment, and a solutions-oriented approach.

Travel, Expense & Event Support

  • Manage domestic travel logistics, detailed itineraries, and changes while anticipating executive needs and minimizing disruption.
  • Ensure timely and accurate expense reporting in compliance with Vizient policy.
  • Coordinate logistics for leadership meetings, team events, planning sessions, and other in-person or virtual business engagements.

Team, Culture & Administrative Excellence

  • Support team engagement, onboarding, training resources, surveys, and feedback collection as needed.
  • Contribute to a high-performing administrative community through peer collaboration, backup support, knowledge sharing, and continuous improvement.
  • Model accountability, professionalism, confidentiality, adaptability, and a high standard of service in all interactions.

Qualifications:

  • Relevant degree preferred.
  • 5 or more years of experience supporting senior executives in a complex, fast-paced environment required.
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams required; experience with project management and collaboration tools preferred.
  • Demonstrated ability to operate independently, anticipate needs, prioritize competing demands, and exercise strong strategic judgment.
  • Exceptional written and verbal communication skills, including the ability to draft executive-ready communications, presentations, and reports.
  • Strong organizational and project management capabilities with experience tracking initiatives, deliverables, metrics, and follow-up actions.
  • Demonstrated ability to improve processes, document repeatable workflows, and create structure in ambiguous or evolving situations.
  • Experience supporting multiple senior leaders and coordinating work across cross-functional teams and stakeholders.
  • Ability to build trusted relationships, influence without authority, and represent senior leaders with confidence and professionalism.
  • Ability to maintain discretion and sound judgment in highly confidential matters.
  • Willingness to travel as needed and occasionally work extended hours based on business priorities.

This is an office-based role with an expectation of three days per week on-site in Irving, TX, with occasional extended hours as needed.

Estimated Hiring Range:

At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances. The current salary range for this role is $77,400.00 to $135,400.00.
