Position Overview:

The Temporary Administrative Assistant provides on-site clerical and administrative support to the Insurance Advocates and the Evergreen Health Insurance Program (EHIP) during Open Enrollment for medical insurance. This position will have responsibility for client insurance-related projects, such as assisting Insurance Advocates with processing insurance applications, contacting case managers and clients via phone and mail to assist with completing the application process, processing application denials and client discontinuations, and contacting clients and case managers to finalize certain insurance plan enrollments. This position reports to the EHIP Administrative Supervisor.

This temporary, full-time, non-exempt, non-union position is expected to last from 10/01/2026 through 02/28/2027. This position is 100% on-site in the Georgetown neighborhood of Seattle, 08:30AM – 5PM Monday - Friday.

Qualifications

Essential Duties:

  • Provide general clerical and administrative support to Insurance Advocates and the Insurance Coordinator. This support includes data entry, phone calls, letters, incoming and outgoing mail handling, and documentation of contact with clients, case managers, and vendors.
  • Maintain accurate and up-to-date client records in the client data systems.
  • Conduct database projects or status reports as assigned.
  • Advocate for clients under the guidance of the Administrative Supervisor.
  • Provide exemplary customer service to clients, case managers, insurance companies, the Department of Health’s Early Intervention Program (EIP), and community partners.
  • Perform all assigned duties of the position and other duties as needed.

Core Competencies:

  • Demonstrated skills and strong working knowledge of Microsoft Office suite of applications, including Excel, Access, and Word.
  • Able to organize, prioritize multiple projects, and meet deadlines in a time-sensitive environment.
  • Detail-oriented with a high level of accuracy.
  • Demonstrated flexibility and adaptability.
  • Ability to communicate clearly and professionally in both verbal and written form.
  • Professional phone skills.
  • Proven ability to work independently and in a collaborative team environment.
  • Demonstrated ability to work effectively under stressful conditions.

Education & Experience:

  • Two or more years of Administrative Assistant experience.
  • Experience working in the medical coverage/insurance field preferred.
  • Experience working in client databases.
  • Basic knowledge of Washington state insurance laws and regulations, insurance plans, Medicare, Medicaid, Open Enrollment dates and the WA Healthplanfinder.

Work Environment:

  • This role is a temporary full-time (40 hours/week) position reporting to the Lifelong Georgetown Yards site at 4634 E Marginal Way S, Ste C200, Seattle WA 98134. It is 100% on-site 08:30AM – 5PM Monday - Friday.
  • Any offer of employment is contingent upon passing a criminal background check. Some programs may require additional background checks or frequency.
  • This position operates in a professional office environment and requires extended periods of sitting at a desk and working on a computer. Occasional standing, walking, and light lifting of up to 20 pounds may be required to support office or event needs. The role may also involve occasional attendance at events or activities that take place outside of normal office settings or standard business hours.
