Job Description

Supervise the bi-weekly multi-state payroll for 1,700 + employees. The Payroll Supervisor coaches and supports two payroll staff members. Work closely with the accounting manager to enhance performance of the Payroll team. Partner with HR, Finance/Accounting, and department leaders to resolve payroll issues efficiently.

Essential job duties:

  • Lead and manage the full-cycle payroll process, ensuring accurate and timely payroll processing for all employees
  • Supervise, train, and support payroll staff and coordinate with accounting team for accurate financial reporting
  • Conduct performance assessments of Payroll staff
  • Develop, document, and maintain payroll SOPs, internal controls, and system set up documents
  • Oversee payroll inquiries and issues, ensuring timely, compliant resolutions
  • Oversee payroll reporting, payroll related audits, 401K/Roth contributions, benefit deductions, and garnishments
  • Audit new hires, rehires, employee changes, terminations, final payments
  • Oversee security access permissions
  • Oversee payroll audits, reconciliations, payroll journal entries, tax filings, and year-end processes (including W-2s and related reporting)
  • Review current processes and procedures to improve efficiency and to optimize the use of technology. Improve payroll workflows and scalability
  • Oversee secure and confidential payroll system and files, exercise a high degree of discretion and integrity when dealing with sensitive payroll information
  • Stay up to date on changes in payroll laws, tax regulations, and industry best practices to ensure compliance and continuous improvement
  • Manage access to state employment portals
  • Develop payroll reporting metrics and internal auditing schedules
  • Establish and maintain a positive working relationship with employees, third party vendors, and team members

Qualifications

  • 10+ years payroll processing experience for a mid-to-large sized company in a multi-state environment preferred
  • 5+ Years experience in payroll and people supervision
  • Bachelor's degree from an accredited institution in accounting, finance, business administration, or related field
  • Payroll certification preferred
  • Advanced knowledge of payroll software such as ADP Workforce Now and ADP Time and Attendance
  • Has knowledge of commonly used concepts, practices, and procedures within the accounting cycle
  • Proficient in Microsoft Office
  • Excellent communication and interpersonal skills
  • Ability to juggle multiple projects while maintaining deadlines
  • Strong sense of self-motivation
  • Excellent analytical and problem-solving skills with an emphasis on attention to detail and critical thinking
  • Excellent time management, organizational, and follow-through skills
