In This Role

You will provide high-level administrative and operational support to two senior leaders, serving as a trusted partner in managing complex calendars, business priorities, travel, meetings, and day-to-day operations. This position requires someone who can look beyond basic scheduling to understand business priorities, anticipate needs, exercise sound judgment, and continuously reprioritize as situations change.

You will work in a highly visible, fast-paced environment with frequent interaction across senior leadership, external partners, and executive offices. Success requires strong executive presence, discretion, resourcefulness, attention to detail, and the ability to work independently while maintaining the rhythm and cadence of the business.

Responsibilities
  • Manage complex, high-volume calendars for two senior leaders, including significant external-facing meeting coordination.
  • Strategically prioritize competing calendar requests based on business impact, urgency, and leadership priorities.
  • Resolve scheduling conflicts and quickly reprioritize in response to changing or unpredictable business needs.
  • Coordinate complex travel schedules and itineraries while ensuring efficient planning and alignment with organizational policies.
  • Support executive meetings, partner-facing engagements, briefing sessions, team offsites, and other high-profile events.
  • Maintain business rhythm activities, including team meetings, leadership sessions, morale events, and offsites.
  • Reconcile expense reports and ensure timely processing, approvals, and compliance.
  • Support purchase orders and other administrative processes in accordance with established policies and procedures.
  • Maintain and co-own team distribution lists and other operational resources.
  • Work closely with executive offices, internal stakeholders, external partners, and cross-functional teams.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Anticipate leadership needs, identify solutions, and independently address issues when appropriate.
  • Balance the priorities, preferences, and working styles of multiple leaders simultaneously.
Qualifications
  • 10 years of relevant experience supporting senior executives with complex calendars and travel schedules.
  • Demonstrated experience supporting senior-level leaders such as GMs, VPs, C-suite executives, or equivalent.
  • Strong experience with complex calendar and schedule management, including strategic prioritization rather than solely meeting coordination.
  • Experience coordinating executive travel and detailed itineraries.
  • Strong business acumen and understanding of organizational hierarchy and executive-level business operations.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, organization, time management, problem-solving, and decision-making abilities.
  • Ability to independently exercise sound judgment and determine when escalation or additional guidance is necessary.
  • Ability to support multiple executives and balance competing priorities in a fast-paced environment.
  • Demonstrated professionalism, executive presence, tact, diplomacy, integrity, and discretion.
  • Ability to build effective working relationships across different levels, functions, working styles, and perspectives.
  • Ability to remain composed, flexible, and effective under pressure.
  • High level of integrity and ability to manage sensitive and confidential information.
  • Proficiency with common productivity tools, including Outlook, Word, PowerPoint, and Excel.
  • Ability to work effectively within a global and cross-functional environment.
  • Availability for limited overtime when business needs require it.
Preferred Qualifications
  • Bachelor’s degree (BA/BS).
  • Previous experience within a large, complex global technology or enterprise organization.
  • Experience managing complex, multi-time-zone executive calendars.
  • Experience supporting multiple senior executives simultaneously.
  • Experience working directly with executive offices and high-level external stakeholders.
  • Experience with enterprise travel, expense, procurement, and administrative tools.
  • Experience coordinating executive briefing engagements, partner-facing events, leadership meetings, and team offsites.
  • Demonstrated history of proactively developing solutions, improving processes, and anticipating executive needs rather than waiting for direction.
