As an Executive Administrative Business Partner supporting the Americas Enterprise Software & Digital Platforms (SDP) organization, you will serve as a trusted advisor and operational partner to the SDP Area leader, Account Team Unit (ATU) General Managers, and their leadership teams. You will enable leaders to focus on customers, partners, people, and business outcomes by bringing disciplined executive support, proactive coordination, and judgment to a complex, fast-moving organization.

SDP partners with leading software companies, platform providers, and digital native organizations to accelerate innovation and achieve business outcomes through Microsoft solutions. The organization operates across strategically important accounts and depends on close alignment among sales, technical, customer success, partner, finance, human resources, communications, and corporate stakeholders. 

The Role 

In this highly visible role, you will sit at the center of the SDP leadership operating system. You will manage executive calendars and travel; orchestrate leadership meetings, business rhythms, events, and communications; coordinate priorities across multiple ATU General Managers; and help ensure decisions translate into timely action. 

This role requires someone who anticipates needs before they become issues, handles sensitive information with discretion, and creates clarity in ambiguous situations. This is not a purely transactional support role; it requires business acumen, executive presence, and the confidence to make informed recommendations on behalf of the leaders you support. 


Responsibilities

Responsibilities are expected to be delivered with enterprise judgment, a customer- and people-first mindset, and a consistent focus on enabling the ATU General Managers and SDP leadership team to operate as one connected organization. 

Executive Calendar Management and Meeting Readiness 

  • Manage complex calendars for one or more leaders, balancing customer and partner engagements, business reviews, people leadership, travel, and protected focus time.
  • Apply knowledge of leader preferences and SDP priorities to evaluate requests, resolve conflicts, identify delegates, and make informed recommendations.
  • Ensure leaders are fully prepared by coordinating participants, rooms, technology, agendas, pre-reads, briefing materials, and follow-up.
  • Partner with Chiefs of Staff, Business Managers, and Business Support peers to align calendars across the Area and ATUs, while handling sensitive or ambiguous situations with discretion. 

Rhythm of Business and Execution 

  • Understand and help operate the SDP rhythm of business, including leadership meetings, business reviews, planning cycles, talent cadences, and organization-wide communications.
  • Create and maintain annual and quarterly calendars, workback plans, checkpoints, and dependency tracking so ATU and Area commitments remain aligned.
  • Partner with Chiefs of Staff and Business Managers to prepare meeting materials, clarify decisions, assign actions, and maintain momentum between leadership forums.
  • Identify recurring friction, recommend simpler operating approaches, and adjust processes as business priorities or organizational needs change. 

Event and Leadership Engagement 

  • Own end-to-end planning for leadership offsites, all-hands meetings, executive engagements, customer or partner events, recognition moments, and team experience activities.
  • Develop workback schedules, checkpoints, budgets, supplier plans, communications, logistics, attendee experiences, and contingency plans that support the intended event outcomes.
  • Serve as the primary event contact, delegate tactical work as appropriate, resolve preparatory setbacks, and provide on-site support when needed.
  • Lead post-event closeout by tracking attendance and outcomes, distributing materials, closing actions, and capturing lessons that improve future events. 

Executive Travel Management 

  • Plan complex domestic and international travel for leaders, aligning itineraries to customer priorities, ATU outcomes, and the productivity goals of each trip.
  • Coordinate transportation, lodging, security, group arrangements, agendas, briefing materials, local stakeholders, and clear expectations for each destination.
  • Act as a stand-by resource during business travel, responding quickly to schedule changes, disruptions, and escalations while keeping stakeholders informed.
  • Ensure required travel documentation and policy compliance, including use of the relevant U.S. Travel Tax Tool, and share policy guidance with less experienced colleagues. 

Project Ownership and Operational Excellence 

  • Balance multiple projects end to end with varying deadlines while maintaining high standards for accuracy, communication, and execution.
  • Translate objectives into clear workback plans, milestones, dependencies, stakeholder roles, risk management, and measurable outcomes.
  • Take accountability for results, drive stakeholder accountability through consistent follow-up, and communicate organizational impacts or risks early.
  • Streamline processes, implement practical improvements, delegate work when appropriate, and evaluate project success at conclusion. 

Financial, Procurement, and Resource Management 

  • Partner with Finance to support discretionary budget tracking, expense management, purchase orders, receipts, statements of work, reclassifications, and policy compliance.
  • Monitor and resolve expense, purchasing, supply, or account-balance issues by coordinating with leaders, Finance, suppliers, and other accountable partners.
  • Manage vendor and supplier relationships as needed, including ensuring that required financial setup and processing steps are completed.
  • Support equipment, inventory, supply, and software-license planning; provide forecasts and recommendations; and serve as an interim approver when formally delegated. 

Team Operations, Recruiting, and Onboarding 

  • Facilitate team experience activities and partner with Global Talent Acquisition and hiring managers to support efficient internal, external, intern, and university recruiting processes.
  • Land onboarding and offboarding activities, including equipment, workspaces, distribution lists, security groups, stakeholder connections, and support for employees, vendors, interns, and executives.
  • Coordinate headcount activities with Business Managers and Chiefs of Staff, including transfers, departures, reporting, offboarding, and transactions in the appropriate tools.
  • Partner with Finance and team members to maintain accurate headcount information and identify improvements to related systems and processes. 

Business Support Leadership and Community Contribution 

  • Lead by example through professionalism, executive presence, composure, sound judgment, and constructive self-reflection during complex situations.
  • Participate actively in the Business Support community, develop and share effective practices, and contribute insights that strengthen the discipline.
  • Mentor, onboard, and train less experienced Business Support colleagues, and participate in Business Support interviews when requested.
  • Support team building, inclusive culture, and continuous learning while identifying meaningful growth opportunities for self and others. 

Qualifications
Required Qualifications
  • 5+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Preferred Qualifications
  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Demonstrated experience providing executive-level administrative or business support in a complex, highly matrixed organization.
  • Experience managing complex calendars, meeting logistics, executive travel, and events with consistently high attention to detail.
  • Proven ability to manage multiple priorities and projects simultaneously, anticipate needs, and deliver against changing deadlines.
  • Demonsrrated written and verbal communication skills, with the ability to engage confidently and appropriately with executives and diverse audiences.
  • Sound judgment, discretion, integrity, and composure when handling confidential information or navigating ambiguous situations.
  • Collaboration and influence skills, including the ability to build trusted relationships and drive follow-through without direct authority.
  • Proficiency with Microsoft 365 and the learning agility to become effective quickly in enterprise business, financial, people, and travel systems.
  • Ability to work effectively across time zones, provide periodic support outside standard business hours, and travel when business needs require it.
  • Experience supporting multiple General Manager-level or executive leaders and coordinating across an extended leadership team.
  • Experience in a sales, customer-facing, technology, cloud, software, platform, or digital-native business environment. 
  • Familiarity with rhythm-of-business operations, budget and expense processes, headcount management, procurement, recruiting, or executive onboarding. 
  • Experience mentoring Business Support professionals, sharing effective practices, or leading process improvements across a support community. 

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $31.49 - $51.97 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $42.93 - $59.33 per hour.
